Key Responsibilities: • Provides exceptional service to the business by greeting/assisting all visitors and answering and transferring incoming calls from all over the United States. Greets the public., • Assists applicants in completing applications. - Distributes name badges to visitors, temporary employees, etc. - Issues facility access cards to employees., • Schedules meeting rooms for all., • Answers and transfers calls from all over the United States., • Participates enthusiastically in company and community service events., • Understands other work areas., • Performs light Administrative duties., • Performs PC Support and Administrative duties as needed., • Acts as a model for Vision, Values, and Mission., • Builds professional relationships with customers and other teams, • Responsible for the timely updates of company phone and speed dial lists., • Responsible for issuing of the Company Loaner Cell Phones., • Assists Administration or any other team when needed for various tasks (envelope labels, compiling manuals, etc.)., • Performs other duties as assigned., • Pre Planning Phase Responsibilities, • Manage all visit and event requests submitted through Briefing Edge, including:, • Customer meetings, • Town halls, • On-site executive or MC events in Omaha, • Coordinate travel logistics, including:, • Flight planning and monitoring, • Car service and ground transportation scheduling, • Communicate and align with:, • Executive Administrative Assistants, • Members of the Executive Committee when planning or expanding events, • Allocate workspace needs for visiting MC or executive members:, • Assign rooms or desk space in Sierra View and/or Outlook, • Plan meeting logistics:, • Reserve meeting rooms, • Coordinate schedules and agendas, • Manage the digital display located in the lobby area, • Arrange technical requirements:, • AV support for meetings and events, • Wi Fi and system access for guests and visitors, • Prepare for client audits:, • Coordinate with audit teams, • Align schedules and space needs, • Coordinate catering requests and potential client visits, • Plan tours connected to the Output Solutions group, • Maintain a vetted list of preferred vendors to support a white glove experience, • Arrival of Customer or Guest Phase, • Provide day of arrival support, including:, • On site greeting and escorting customers, MC members, or executives, • Coordination with car services and transportation vendors, • Coordinate luggage assistance, • Ensure:, • Workspace, meeting rooms, and technology are ready upon arrival, • Any last minute changes are addressed promptly, • Act as primary point of contact during arrival to ensure a seamless experience, • On Site Services, • Deliver a white glove on site experience, including:, • Escorting guests throughout their visit as needed, • Serving as the central coordinator for real time requests, • Manage food and catering services:, • Coordinate with catering manager and food arrangements, • Handle special dietary or executive requests, • Facility amenities/coordination:, • Special setups: Work with FAST Team or facilities dept on desired setup or special requests., • Coordinate print services/signage requests, • Departure Services, • Coordinate departure logistics, including:, • Car service scheduling, • Final transportation confirmations, • Ensure:, • Meeting spaces are closed out properly, • Equipment and rooms are released, • Confirm all expenses are:, • Submitted, • Reconciled, • Allocated to the correct business units, • Capture any follow up items or feedback for future visits Key Requirements and Technology Experience: • Requires high school diploma and 2+ years of prior switchboard experience., • KNOWLEDGE, SKILLS AND ABILITIES - MS Office Suite experience is a plus, specifically Word and Excel., • Possesses excellent customer service skills and is detail oriented, • Possesses ability to handle multiple tasks simultaneously., • WORKING CONDITIONS, MENTAL AND PHYSICAL DEMANDS, • Typically works in an office environment with adequate lighting and ventilation, and normal range of temperature and noise., • Requires daily contact within the department., • Work has some occasional stress due to periodical or cyclical workload pressures., • Minimal physical effort is required., • Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically weigh less than 10 lbs. (e.g., papers, books, files and small parts, etc.)., • Requires regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination).
