Department: Curatorial Affairs FLSA Status: Non-Exempt Supervisor duties: No Position Type: Full-Time Reports to: Director of Curatorial Affairs Benefits Eligibility: Yes, Medical, Dental, Vision, 403 B, STD/LTD, PTO, etc. Revision Date: October 2025 Primary Purpose: The Curatorial Affairs Administrative Coordinator supports the Curatorial Affairs team in all administrative areas related to the work of the Conservation, Curatorial, and Registration teams. Additional areas of focus include assisting with the department’s two board-affiliated committees—the Collections Committee and the Exhibitions Advisory Committee—and providing logistical support for managing the Museum’s exhibition calendar and program. Key Performance Indicators (KPI): Job Knowledge, Research, Openness, Collaboration, Growth, Respect Essential Functions: Job Knowledge • Demonstrates familiarity with typical administrative functions in a large, multi-team department, including coordinating departmental calendars, preparing correspondence, facilitating meetings, arranging travel, and preparing presentations and reports., • Assists in managing departmental operating budgets, as well as exhibition and special project budgets., • Coordinates departmental financial reporting, including reconciling statements and processing invoices., • Conducts assigned research on objects in the collection and potential acquisitions, including compiling catalogue information, bibliographies, and exhibition histories., • Prepares research materials for assigned exhibitions, maintaining object lists, bibliographies, and related correspondence., • Provides administrative and logistical support for exhibition catalogues and museum publications, including securing image rights., • Provides administrative and logistical support for Museum’s exhibition program, assisting in calendar management, coordinating information sharing and drafting necessary materials with relevant staff., • Works with supervisors to prepare contracts for artists, galleries, and independent contractors, and coordinates related payments., • Provides administrative support for the Museum’s Committee on Collections and the Exhibition Advisory Committee., • Serves as the department’s primary contact for other Museum departments, external vendors, stakeholders, and the general public, coordinating responses to inquiries with relevant staff., • Participates in opportunities to meet artists, scholars, and collectors., • Engages in professional development activities, including trainings, conferences, and symposia., • Demonstrates professionalism, integrity, and discretion in all interactions., • Maintains the confidentiality of sensitive information and materials., • Respects diverse perspectives, cultures, and backgrounds when conducting research, writing, and collaborating with colleagues and stakeholders., • Bachelor’s degree required, Master’s degree in art history or a related field, preferred., • Prior experience in a museum or gallery setting is highly desirable, • Basic familiarity with research practices in art history, or a related field., • Excellent written and verbal communication skills, • Strong interpersonal skills for working with curators, artists, and the public, • Ability to represent the museum professionally at events and with donor/stewardship groups The is a full-time in-office role, and that may occasionally include evening or weekend events, requiring professionalism, strong communication skills, and flexibility in a fast-paced museum environment. Physical Requirements: Must be able to lift and carry file boxes and other awkward items weighing up to 25 lbs., including up and downstairs. Requires intermittent standing, walking, sitting, squatting, stretching, and bending throughout the workday. Must be able to see and hear or use prosthetics that will enable these senses to function adequately to ensure that the requirements of this position can be fully met.
