Position Summary: The Administrative Coordinator provides comprehensive administrative support for the corporate office while serving as the key site coordinator for Responsible Care (RC) program activities. This dual-function role ensures smooth office operations, exceptional customer service, and compliance with Responsible Care program requirements. The Administrative Coordinator supports internal teams, manages documentation and reporting, facilitates audits and training, and helps maintain a culture of safety, compliance, and continuous improvement. Work is performed with a high degree of independence, discretion, and professionalism Responsibilities: Administrative & Office Coordination • Serve as the primary point of contact by managing 50-75+ incoming calls, directing inquiries, and greeting visitors professionally., • Escort guests and vendors, maintain the visitor log, and manage access badge inventory., • Process incoming and outgoing express mail (FedEx, UPS, DHL) and prepare shipments for corporate office employees., • Maintain inventory of office supplies and printed materials, ensuring timely replenishment and strong vendor coordination., • Arrange food and beverage for meetings and set up meals in designated rooms., • Monitor copiers and printers, coordinate service with vendors, and maintain printer supply inventory., • Support facility operations, including building work orders, conference room upkeep, and posting company announcements., • Create, update, and maintain documents, spreadsheets, and departmental systems using Microsoft Office and SharePoint., • Organizes and coordinates travel arrangements for individuals or groups, including booking flights, hotels, and transportation., • Collect and analyze data to generate accurate reports and status updates for supervisors., • Assist with budget tracking by maintaining expense spreadsheets and supporting documentation., • Maintain confidential departmental files and records with discretion. HQ Safety Coordination • Lead and direct the response of HQ personnel and visitors during emergency situations., • Coordinate emergency drills, response training, and annual participation reviews with Corporate Security/ESS., • Maintain and update the HQ Safety Manual and Orientation Manual, including online training content and links., • Issue and track HQ safety badges and support accountability processes (e.g., "who's in report")., • Train departments on orientation responsibilities and maintain safety onboarding documentation., • Respond to calls received through the HQ 800 number and support crisis communication activities in coordination with IT., • Complete required safety training, including OSHA 10-Hour and FEMA ICS-100/200 certifications. Responsible Care Program Coordination • Maintain Responsible Care documentation, ensuring audit readiness., • Schedule and support Compliance Obligations and Hazards & Aspects meetings., • Coordinate RC internal audit schedules and assist internal/external auditors., • Support or facilitate RC training for employees and contractors., • Participate in RC Coordinator meetings and share best practices., • Lead or assist with stewardship initiatives (recycling, community outreach)., • Serve as the primary contact for RC-related inquiries., • Maintain and update the Responsible Care manual (content provided by HSES Specialist)., • Complete required Responsible Care and audit-related training. Minimum Qualifications: • High School Diploma or equivalent., • Minimum of three years of administrative or receptionist experience., • Proficiency in Microsoft Word, Excel, and Outlook; SharePoint preferred., • Strong written communication, organization, and attention to detail., • Ability to maintain confidentiality and coordinate across multiple stakeholders., • Willingness to complete Responsible Care and audit-related training; RC knowledge preferred., • Ability to lift, push, pull 25 pounds of more., • Valid driver's license required.
