We are seeking a Legal Assistant who has an interest in contributing to firm general operations and supporting the continued growth and optimization of our practice. The Opportunity This position is ideal for a legal assistant with litigation experience who enjoys both traditional legal support work and being involved in helping frame the administrative operations and workflow of a dynamic, collegial, and growing boutique litigation firm. You will work closely with our Director of Operations on firmwide workflow, technology, and administrative processes—making this a strong role for someone who wants to expand beyond standard legal secretary duties and develop into a trusted, high‐impact contributor within the firm. Responsibilities: Legal Administrative work • Managing office and attorney calendars to ensure deadlines are met, coordinate scheduling, and assist with meeting preparation., • Document management, production, and drafting including preparing shells for various documents, formatting, editing, and finalizing documents for filing or service., • Perform or assist with quality control of court deadline and appearance entries in docketing software., • File legal documents electronically with courts and other external bodies ensuring compliance with all court and local requirements for both state and federal courts., • Maintain integrity of client information in document management system according to firm policy., • Coordinate attorney travel and submit attorney expenses., • Maintain attorney bar admissions, CLE credits, and various professional association memberships, • Assist in preparing materials for depositions, hearings, trials, and other meetings, including assisting with or coordinating binder preparation, • Work closely with and provide general assistance to Director of Operations, including, but not limited to:, • Assisting with office events and amenities, • Order, track, and maintain office supplies and inventory, • Support billing, invoicing, expense reporting, and basic administrative finance tasks, • Basic IT coordination with firm’s managed service provider, • Assist with onboarding support for new staff and general office coordination, • Assist with building coordination, • Support general administrative projects and firm-wide initiatives as needed Office Operations & Coordination • Order, track, and maintain office supplies and inventory, • Support billing, invoicing, expense reporting, and basic administrative finance tasks, • Coordinate attorney travel arrangements, accommodations, and logistics when needed, • Assist with onboarding support for new staff and general office coordination, • Minimum 3 years of experience in a law firm preferred, • Strong organizational skills with the ability to manage multiple priorities in a deadline-driven setting, • Excellent written and verbal communication skills, • High level of professionalism, discretion, and confidentiality at all times, • Ability to learn new systems and processes quickly, • Familiarity with legal terminology, litigation support, and court filing processes is a plus, • Ability to think critically and independently tackle new challenges, • Excellent organizational and multitasking skills, • Extensive knowledge of state and federal court rules and filings, • Proficient in Microsoft Suite applications with advanced skill set for Word table of contents, table of authorities, section breaks, page numbers, bullets/numbering, tables, etc. as well as Excel and PPT, • Experience with Adobe PDF, • Experience using macros and styles to format Word documents, • Proficient in using a document management system, iManage experience a plus, • Typing speed 75 wpm, • Calm, composed, and solution-oriented under pressure, • Strong attention to detail with a commitment to accuracy, • Proactive mindset with the ability to anticipate needs before they arise, • Team-oriented attitude with a willingness to support wherever needed, • Work alongside highly experienced attorneys handling complex, high-profile litigation matters, • Exposure to sophisticated legal work typically found at top-tier firms, • Collaborative, team-driven culture with low bureaucracy and high accountability, • Opportunity to grow into more advanced legal or administrative roles over time Benefits Excellent benefits package, medical, dental, vision, LTD, STD, & life fully paid for employee only coverage. 401K firm contribution beginning month 4.
