Job Description The Operations Manager is accountable for the overall success, safety, and efficiency of TFG’s day‑to‑day warehouse, transportation, and facilities operations. This working manager leads shipping, receiving, inventory accuracy, routing and delivery execution, building and equipment maintenance, and compliance (OSHA, USDA/food safety, DOT). The role owns the Warehouse Management System (WMS) practices and partners closely with Programs and Volunteer teams to meet service, equity, cost, and safety goals. III. Core Job Functions: • Warehouse Operations & Inventory (approx. 70%), • Own inventory accuracy and control procedures; ensure cycle counts and reconciliations are performed and variances addressed., • Serve as organizational WMS owner: steward SOPs, user training, permissions, and change management; drive adherence and continuous improvement., • Ensure accurate and timely order picking, staging, shipping, and receiving for all programs (e.g., agency orders, affordable grocery)., • Maintain warehouse housekeeping and food safety standards; ensure storage, handling, and temperature controls meet regulatory and donor requirements., • Recommend layout, equipment, and process improvements that improve service, safety, and cost., • Other duties as assigned by supervisor, • Transportation & Logistics (approx. 10%), • Lead daily transportation operations for agency deliveries and program routes; set performance standards for on‑time and in‑full delivery., • Build efficient routings and schedules; balance agency service, cost, and driver workload., • Ensure DOT compliance (CDL/medical cards, MVRs, hours‑of‑service logs, drug/alcohol testing, vehicle inspections)., • Coordinate inbound scheduling with donors and vendors; resolve transportation exceptions and service issues., • Maintain delivery KPIs (OTIF, cost per route, claims, safety incidents) and lead root‑cause problem solving., • Maintain fleet readiness (trucks, trailers): inspections, preventative maintenance, repairs, licensing, and records., • Facilities (approx. 10%), • Oversee building, grounds, physical security, pest control, refrigeration/freezer assets, racking, docks, and material‑handling equipment., • Own preventive maintenance schedule and vendor relationships; minimize downtime and extend asset life., • Manage capital and repair budgets; escalate facility risk and insurance matters as needed., • Maintain equipment readiness (forklifts, pallet jacks): inspections, preventative maintenance, repairs, licensing, and records., • People Leadership & Culture (approx. 10%), • Directly supervise Warehouse Coordinator, Drivers/Lead Driver, Facilities & Fleet Coordinator/Operations Specialist, and Warehouse Technicians; provide coaching, feedback, and annual reviews., • Recruit, hire, and onboard staff; create clear goals, schedules, and training plans., • Foster a high‑trust, inclusive culture aligned to TFG’s mission and equity commitments; partner cross‑functionally (Programs, Volunteer, Sourcing, Finance, IT)., • Safety, Compliance & Continuous Improvement (ongoing), • Ensure OSHA, USDA/food safety, and DOT compliance; maintain required logs, permits, and incident response plans., • Lead safety committee participation, trainings (PIT, LOTO, PPE), and near‑miss/incident investigations., • Track KPIs and drive continuous improvement using PDCA/Lean methods; document SOPs. IV. V. Working Conditions and Environment: This position is housed within an office and warehouse setting, temperature‑controlled and freezer/cooler exposure with PPE provided. The building is accessible and smoke free. This position works during normal business hours and includes some evening and/or weekend hours. Start times are flexible to adjust to bus, biking, or other transportation schedules. The person employed in this position must be able to lift a minimum of 50 pounds and operate warehouse equipment.
