Level Descriptions: Level I – Must be able to achieve many objectives of this position. Requires some amount of timely supervision to ensure the proper tasks are being accomplished and that communication is adequate, timely, in the correct manner (i.e. verbal, written, email, etc.) Level II - Consistently achieves all of the objectives of this position. This individual also provides mentoring and direct day-to-day supervision to level I positions. Senior - Highly experienced in the position. Advanced awareness of customer needs and the methods of solving them. Also, a solid understanding of building controls and special systems and the mechanical and electrical systems in buildings. This person is a “go to” source for others and has a thorough awareness of our customer base, our commitments to them, and the skill sets of our employees. Job Duties & Responsibilities: • Manages the scheduling of specialists for all service agreements., • Manages the day to day scheduling for emergency and T&M service projects., • Receives, verifies for accuracy, and execute orders received for spare parts, enters service work orders and employee time sheets., • Is aware of customer satisfaction issues and coordinates with others as required to ensure this is maximized. Invoices for spare parts daily and T&M work weekly., • Works closely with the Collections department and other employees as required insuring timely collections for T&M, service agreements, and service construction., • Coordinates material orders and timing with Material Coordinator to maximize cash flow and material handling efficiency., • Communicate with external organizations as required such as consulting engineers, building owners, and other contractors to ensure accurate and timely response., • Provide support to Climatec and other contractors to solve building operating issues that go beyond the controls or special systems operation., • Communicate with internal employees as required to ensure Climatec labor is accurate and timely and estimated productivity is achieved in all areas., • Keep service management system updated and employ it to achieve maximum productivity., • Provide support for ongoing service collections, technician scheduling, setting up work orders, and being the front facing customer service representative for both internal and external clients. Minimum Qualifications: • Minimum of a high school diploma, GED, or equivalent., • 2+ years of experience as a Service Coordinator or in a similar role, preferably in building controls, construction or related field., • 2+ years of proficiency in basic computer systems, including but not limited to MS Office Suite (Microsoft Word, PowerPoint, Excel, Teams, Outlook, Dynamics, and SharePoint)., • 2+ years of experience working with project management software such as Microsoft Project, Monday.com, and/or Asana., • 2+ year of experience with external organization communications, high-level internal communications, and strong customer service skills, • Strong verbal and written communication skills, with the ability to convey information clearly and concisely., • 2-year associate's degree in business administration/HVAC/Hospitality Management or customer service-related studies preferred., • 4+ years of experience as a Service Coordinator or in a similar role, preferably in building controls/building technologies or related field., • 4+ years of experience working with project management software such as Microsoft Project, Monday.com, and/or Asana., • Extensive experience with service management systems; Service Trade, ProCore, Corrigo, Coupa or Vendor Café, software experience., • Previous experience in coordinating material orders, scheduling, answering customer requests., • Familiarity with industry-specific (Construction/HVAC) software and tools., • Be able to lift and carry ladders, drawings, personal computers, material, boxes, etc., • Be able to lift up to 50lbs+., • Be able to spend significant time standing and walking throughout offices or job sites., • Be able to climb several flights of stairs or ladders throughout a typical day on a job site., • Maintain a satisfactory driving record which, per Climatec’s vehicle policy, allows the individual to drive a company vehicle., • Medical, • Dental, • Vision, • Flexible Spending Accounts, • 401K w/ company match, • Life/AD&D/LTD, • Paid Vacation/Sick/Holidays, • Employee Assistance Program Employment Relationship and Disclaimer: This position with Climatec LLC, located in Irving, Texas, is offered as a temporary-to-hire role with an initial six (6) month contractual period.
