About the Role The Guest Experience Assistant works directly under the Guest Experience Manager to support daily operations, client communication, and overall clinic flow. This role is essential in keeping the front end of the business running smoothly while ensuring every client feels welcomed and cared for. Key Responsibilities Client Experience & Front Desk Support • Serve as a welcoming presence for all clients, ensuring a warm, professional, and polished first impression, • Assist with client check-in and check-out, including verifying information, processing payments, and rebooking future appointments, • Help maintain a calm, organized, and elevated front desk environment at all times Scheduling & Clinic Flow, • Support appointment scheduling, confirmations, and adjustments to optimize provider schedules, • Assist in managing daily clinic flow to ensure appointments run efficiently and on time, • Communicate delays, changes, or updates clearly to both clients and team members Phone & Communication Management, • Answer incoming calls, texts, and emails promptly with professionalism and enthusiasm, • Provide accurate information about services, pricing, and availability, • Route inquiries appropriately and ensure timely follow-up when needed Lead Management & Client Follow-Up, • Assist in tracking and responding to new leads across phone, text, and social platforms, • Follow up with potential clients to answer questions and encourage booking, • Support retention efforts through rebooking, check-ins, and client communication Sales & Product Knowledge, • Develop a strong understanding of SkinFusion’s service menu, including treatment benefits, pricing, and ideal client candidacy, • Build knowledge of all retail products carried in the spa, including ingredients, usage, and recommendations, • Confidently educate clients on services and products to support their goals and enhance results, • Identify opportunities to recommend appropriate treatments and retail products based on client needs, • Support the team in achieving daily, weekly, and monthly sales goals, • Reinforce provider recommendations and assist with closing retail sales at checkout, • Stay up to date on promotions, packages, and new offerings to effectively communicate value to clientsMarketing & Social Media Support, • Assist in executing the monthly marketing calendar, • Help create and schedule social media content using tools like Canva and other editing platforms, • Capture in-clinic content (photos/videos) to support brand growth and engagement, • Maintain consistency with SkinFusion’s brand voice and aesthetic Event & Promotion Support, • Assist with planning and executing in-office events, promotions, and special campaigns, • Help prepare materials, set up displays, and support event flow, • Engage with clients during events to enhance their experience Inventory & Organization, • Assist with tracking retail and backbar inventory levels, • Help restock products, organize storage areas, and maintain cleanliness throughout the clinic, • Communicate low inventory or supply needs to management Administrative & Team Support, • Provide direct support to the Guest Experience Manager in daily operations and projects, • Take initiative in completing tasks and identifying areas where support is needed, • Positive, cheerful, and outgoing personality, • Strong communication and customer service skills, • Ability to multitask in a fast-paced environment, • Highly organized and detail-oriented, • Reliable, proactive, and willing to learn, • Team player with the ability to take direction and execute independently, • Proficiency in Canva and other social media/content editing tools, • Previous medical and/or spa experience a plusSchedule, • Monday–Thursday: 1:00 PM – 7:00 PM, • Occasional Fridays for vacation coverage, • Occasional Saturdays as needed Growth Opportunity This position has strong potential to grow into a full-time role as SkinFusion continues to expand.
