The Ivy Street School is a small year-round private residential special education school committed to advancing equity and access for young people living with disabilities. The Position The operations Coordinator provides key logistical and operational support to the Program Operations Director and the broader team. This role assists with administrative support across departments and contributes to the overall functioning and readiness of the organization. The operations Coordinator helps maintain operational efficiency through hands-on coordination of facilities needs, supply management, and preparation for interviews and inspections. Responsibilities Administrative and Logistical Support • Owning daily front desk operations, including greeting guests, handling incoming calls and mail, and ensuring a warm, organized front desk presence., • Provide administrative support by tracking equipment, maintaining logs, collecting timesheets, and ensuring readiness of medical go-bags, • Support logistics for interviews, including room setup and preparation of materials., • Assist in coordinating and preparing for building inspections, including documentation organization and facility readiness., • Maintain inventories and assist with supply ordering and distribution across programs., • Submit and track maintenance requests to ensure timely resolution of facilities issues., • Provide general administrative support to the Program Operations Director and departmental teams., • Support new hire setup by preparing workspaces, equipment, and onboarding materials., • Support new employee onboarding by coordinating monthly orientation logistics, preparing training materials, ordering lunches, and assisting new staff with questions and needs throughout orientation, • Assist in scheduling staff coverage across Educational, Residential, and Overnight Shifts, • Maintain accurate staffing records and communicate daily coverage updates to relevant teams as well as staff on-boarding documents, • Conduct walk-throughs of the building to ensure general upkeep and escalate facility needs appropriately., • Complete routine checks of agency vehicles and paperwork related to vehicle use, • Organizational Skills: Strong ability to manage tasks, track priorities, and support smooth program operations., • Communication Skills: Clear and professional communication with staff, vendors, and leadership., • Problem-Solving: Resourceful and responsive when addressing logistical and operational challenges., • Collaboration: Works well with a range of teams and staff to support shared goals., • Proficiency with Technology: Comfortable using email, scheduling tools, and online forms., • High school diploma or equivalent required, some college coursework or relevant training preferred., • At least 1-2 years of experience in an administrative or facilities support role, preferably in a human services or educational environment, • CPI, CPR and First Aid certifications required (offered upon hire), • A valid driver’s license.
