The Operations Manager is the protector and integrator of The Wheelock Team’s growth. You are the master of systems, constantly identifying smarter, faster, more efficient ways to run the business. You free up the sales team to focus on generating opportunities because you’ve built operational processes that run smoothly, consistently, and strategically. You relish building, implementing, improving, and documenting systems. You bring clarity into complex situations. You use structure, leadership, and follow-through as strategic advantages. And as the business grows, you will be responsible for hiring, leading, and developing additional team members—both on the operations and sales sides of the organization. Compensation • Base salary: $100,000–$110,000 (experience-dependent), • Potential bonuses, • Referral bonuses, • Build, document, and maintain all operational systems, including transaction management, client communication, CRM, budgeting, and marketing workflows., • Handle calendar organization, meeting scheduling, booking flights, booking events, and inbox management for the team lead., • Oversee contracts from listing/offer to close, ensuring deadlines, accuracy, and exceptional client service., • Manage financial operations: budgets, billing, commission tracking, reporting, and vendor/tech oversight., • Create and maintain SOPs, onboarding manuals, and training resources across all departments., • Lead hiring, onboarding, and accountability for administrative staff and support agent onboarding, training, and performance goals (KPIs)., • Ensure consistent, high-level listing marketing, brand standards, and lead-gen ROI tracking., • Manage onboarding plans (30-60-90, First 100 Days) and support listing/buyer negotiation prep when needed., • Being quality control for the brand on everything from staging, to videos, and events., • Obtaining scripts and reviewing videos for our YouTube channel, Luxury Living NYC. Management Responsibilities • Administrative team members., • Sales agents (from a systems, onboarding, and accountability standpoint).Qualifications:, • Bachelor’s degree preferred., • Real estate license required (or willingness to obtain quickly)., • 1–3 years of service and management experience., • 3–5 years of administrative experience, real estate experience strongly preferred., • Proven experience in operations, real estate administration, or transaction management., • Strong project management skills with the ability to build and optimize systems., • High-level organization, follow-through, and deadline management., • Proficient with CRM platforms, financial tracking, and tech systems., • Clear communicator who can lead, train, and hold others accountable., • Comfortable managing multiple priorities and adapting quickly., • Experience creating SOPs, onboarding materials, and process documentation preferred.About Company With over 14 years of real estate experience, Erin Wheelock is a top 5% producer at Keller Williams NYC and a trusted expert in luxury listings, global investment strategy, and high-level relocation throughout Manhattan and Brooklyn.
