GSI Water Solutions (GSI) is seeking an energetic and motivated People & Operations Coordinator who will serve as a central connector across our organization supporting executive leadership, strengthening our people systems, and ensuring the day-to-day operations of our workplace run smoothly and efficiently. Learn more on our website: ABOUT OUR CORPORATE PEOPLE & OPERATIONS COORDINATOR: PEOPLE & OPERATIONS COORDINATORS work closely with mid- and senior-level corporate staff to coordinate administrative processes, projects, or programs. Works with moderate independence, supports cross-functional collaboration, and ensures details and timelines are managed effectively. IN THIS ROLE YOU WILL: Executive Support • Support senior leadership team by reviewing staff availability and scheduling meetings, including Leadership Team meetings, all-staff meetings, Practice Director meetings, and Corporate Meetings, • Record meeting minutes and distribute to the team. Identify action items from meetings, follow up with staff to understand the status of action items and communicate back to the President, • Manage and maintain executive schedules, including scheduling travel for conferences (lodging, airfare, etc.), making appointments, and making changes to appointments, • Assist with special projects as needed, • Prepare and edit correspondence, communications, and presentations, • Coordinate internal events ordering food, securing locations, ordering supplies, set-up and break-down HR Support • Assist with HRIS maintenance (data entry, employe file management, benefits enrollment, onboarding/offboarding workflow updates)., • Support recruiting efforts (posting, screening, scheduling), • Support with onboarding (oversee onboarding to-do list, schedule meetings as needed), • Oversee compliance posting requirements in all locations, • Participate in Health and Safety Committee meetings. Support implementation of federal and Oregon OSHA standards. Office Management (for Portland Office) • Own the daily rhythm and functionality of the office environment, • Serve as the first point of contact for guests, vendors and new hires, ensuring the front-of-house experience reflects professionalism and brand values., • Ensure shared areas are clean, well-stocked, and aligned with operational standards., • Oversee vendor relationships for office and kitchen supply and maintenance. Source and manage vendors for new equipment or supplies as needs arise., • Purchase office-provided materials and stock supply areas, printer areas, and the communal refrigerator. Monitor usage and restock proactively., • Provide administrative support to all staff for mailings & shipments, travel arrangements, and inter-office and third-party logistics. Support set-up and logistics for staff meetings, Board meetings, and general company events. Coordinate regular team lunches and ad hoc meal orders., • Oversee mailroom operations including collecting and distributing incoming mail and packages, • Track and support in the maintenance of company vehicles, • Monitor and manage building access and ensure security protocols are upheld REQUIRED EDUCATION AND EXPERIENCE: Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. Typical ways to obtain the required knowledge and abilities include: • 6 years of professional experience with at least 2 years in office-based setting;, • -OR- Bachelors degree from an accredited college or university and a minimum of 2 years of professional, office-based experience. CERTIFICATES, LICENSES, AND REGISTRATIONS: • Current and valid driver's license and clean driving record.
