• Responsibility and overall management of White Fleet vehicles (inclusive of Electric & Fuel type cars) for the South West Region., • Act as Authorising Duty Officer in accordance with current departmental policy, rules and guidance. This includes organising repairs, scheduling maintenance, maintaining logs of fuel expenditure, all mileage and maintenance undertaken., • Approval of rental cars for staff in the area when requested., • Act as Office Custodian. You will report all repairs, check commercial external waste is collected, health and safety, responsible for the booking of conference rooms for DIO and any third party organisations., • Responsibility for processing PFI invoices. Liaise with appropriate staff to ensure costs are accurate and represent value for money., • Maintain regional documentation, collate and present data in a suitable format, to support: Investigations, Requests for Information, and reporting requests, ensuring all follow-up actions are completed., • Carrying out routine administrative tasks, including the handling of incoming and outgoing mail., • Responsible for ordering stationery, PPE and office consumables for the South West Region., • Maintain all regional documentation on SharePoint including the monitoring of mandatory information trackers and registers for the SW region to ensure compliance across the region.Person specification Sound Knowledge of IT and Microsoft Applications Previous office experience preferred Good organisational and interpersonal skills Full UK Driving Licence essential due to travel to nature of responsibilities for white fleet vehicles across the South West region. Full responsibilities of the role cannot be achieved without this. Licences Full UK Driving license. Whilst the position is based at Larkhill it will include regular travel to our housing estates across the South West region. Transport will be provided through MOD fleet cars.
