About the Opportunity: We’re looking for an organised, proactive and detail-focused administrator to join our team on a fixed term basis and provide essential administrative support across our Project and Wash operations.This is a varied and fast-paced role where you’ll help keep projects moving by coordinating job information, subcontractor and supplier orders, engineer schedules and invoicing. You’ll work closely with Delivery Managers, project teams, engineers, subcontractors, suppliers and clients, ensuring that information is accurate, jobs are progressed on time and our customers receive a high level of service. You’ll also play an important role in preparing site packs, maintaining accurate records and keeping our operational systems and client portals up to date. With often detailed and compressed project timelines, your ability to stay organised, prioritise competing demands and pay attention to detail will be key. What You'll Do Provide day-to-day administrative support to our Project and Wash teams. Log, track and update contracts and jobs using our in-house operational systems and relevant client portals. Place orders with subcontractors and suppliers, ensuring requirements are communicated clearly and within agreed timescales. Support the Delivery Manager with scheduling engineers and subcontractors to meet client requirements and project deadlines. Prepare site packs and supporting documentation to ensure engineers and subcontractors have the information they need. Liaise with colleagues, clients, subcontractors and suppliers to keep jobs progressing smoothly. Monitor job progress and ensure systems and records are kept accurate and up to date. Raise invoices for completed works promptly and accurately. Handle incoming calls and emails relating to ongoing contracts and projects. Assist with reports, project documentation and other administrative requirements. Maintain accurate databases, records and filing systems. Work collaboratively with colleagues across the business to provide a responsive and efficient service. Help identify and resolve issues that could impact project delivery or customer timelines.About You You’ll be an organised and dependable administrator who enjoys working in a busy environment where priorities can change and deadlines matter. You’ll be comfortable managing several tasks at once while maintaining a high level of accuracy and attention to detail. We believe the following skills and attributes will set you up for success in this role. Previous experience in an administrative, coordination, helpdesk or similar support role. Strong organisational and time-management skills, with the ability to prioritise competing workloads. Excellent attention to detail and a commitment to maintaining accurate records. Good written and verbal communication skills, with the confidence to liaise with colleagues, clients and external suppliers. Good computer literacy and confidence using Microsoft Office, particularly Word, Excel and Outlook. The ability to work effectively both independently and as part of a wider team. A proactive approach, with the confidence to follow things through and chase information when required. A reliable, professional and positive approach to work. The ability to remain calm and organised when working to tight or changing deadlines. Experience using scheduling, job management, helpdesk or operational logging systems would be advantageous, although training will be provided where required.
