Job Description YOUR IMPACT The Camp Hope & Pathways Project Manager is responsible for the operation of Camp Hope Rockford and the year-round responsibilities associated with the camp and program. This position will partner with community agencies and organizations while supporting the families and participants through the missions of Camp Hope America and the YMCA of Rock River Valley. This position is grant funded and supports year-round, grant-funded programming. EXPECTATIONS & RESPONSIBILITIES The YMCA seeks to provide a flexible, results-oriented work environment. To support the branches, programs, and people they serve, directors will be asked to spend a majority of their time on-site observing, supporting and leading. While occasional remote work may be permitted with prior approval from the supervisor, directors are required to maintain a consistent on-site presence and should not expect regular remote work arrangements. Leadership & Staff Development • Develops strategies to motivate staff and achieve goals. Provide clear job expectations for all supported roles., • Serves as a member of their branch, Camp Winnebago Department and YMCA Leadership Teams. Will attend all scheduled meetings, included, but not limited to, branch team meetings, operation meetings, and leadership meetings., • Travels as needed to conferences, seminars and meetings., • Fosters a culture that builds trust and treats all team members and colleagues with respect; constructively and immediately deals with conflict; gains commitment and provides clarity; holds team members accountable and cultivates peer accountability; and achieves results to meet strategic and operational goals., • Provides direct supervision to leads and frontline staff to ensure their professional development and success., • Recognizes, develops, and strategizes department staffing needs, including but not limited to, monthly Project Pathways & Camp Hope., • Manages and supports through staffing, scheduling, payroll and programming. Follows all YMCA policies and industry-leading practices as well as local, state and federal regulations and laws., • Creates, implements and documents an annual training/meeting calendar that meets or exceed leading industry standards, YUSA standards and the association's general liability insurance recommendations., • Seeks and provides regular feedback. This includes: meeting with all Project Pathways & Camp Hope staff two times per year; meeting with coordinators or leads monthly; meeting with the Project Pathways team 6 times per year., • Participates in bi-weekly youth development leaders meetings to support in the areas of program development, staff training, program quality standards, recertification, audits and resource development. Participates in other committees as requested., • Collaborates with their Branch Executive Director in the hiring process of Project Pathways & Camp Hope leadership positions., • Ensures compliance with the grant scope, including establishing policies and procedures for program operation and operational goals, leading monthly Pathways meetings, enrolling local youth and organizing logistics for the success of Camp Hope Rockford., • Develops and implements quality control measures to ensure delivery of quality programs, integrated marketing approaches, smooth enrollment processes, coordination of recruitment strategies and regular reporting progress of core outcomes., • Plans and coordinates with partner organizations and agencies to deliver training, education and site visits. Maintains effective working relationships with YMCA, government agencies, law enforcement, the public and community organizations., • Works closely with Camp HOPE America’s national office to implement their mission and vision., • Drives engagement and innovation by leading and launching youth programming, educational events, and creative member and family experiences., • Produces all operational aspects of relevant programs and events including coordinating all logistical elements, managing setup and teardown, organizing vendors, anticipating attendee needs, volunteer recruitment, mitigating potential risks, communicating event and program details to all stakeholders, making quick decisions and effectively managing time and tasks., • Prioritizes and coordinates all aspects of and leads one-week long residential camp program during the summer., • Produces all creative aspects of relevant programs and events including creating the program curriculum and description, creating and managing event timelines, creating marketing materials, planning and executing a décor and signage plan and creating event-flow design., • Responds promptly to member and participant concerns, typically within 24-48 hours, across phone, email, and other communication channels., • Conducts 90-day progress reviews and intake screenings., • Develops and controls project budgets related to the position so that resources are devoted to top priorities and strategic objectives., • Participate and support staff, annual, and capital campaigns., • Be visible, accessible, and responsive in youth programming., • Ensures all communication materials, schedules, and promotions are accurate, updated, and brand compliant., • Ensures accuracy of program information across all physical schedules, online schedules/applications, and internal systems., • Partners with association maintenance team to ensure a safe and effective preventative maintenance program that follows all manufacturer recommended guidelines is active and in place., • Maintains cleanliness in spaces involves ensuring that all areas are sanitary, tidy, organized, and free from clutter, creating a welcoming environment for all. After events, it is essential to systematically put items back in their designated places, restoring order and preparing the area for future use., • Prepares staff to respond in the event of an emergency.
