Job Overview This position works under the general direction of the Director of Governance and in coordination with other departments by providing senior-level administrative support with a strong focus on maintaining governing protocols and accreditation standards. It requires advanced organizational and technical skills, including the ability to manage multiple priorities and deadlines with efficiency and accuracy. Proficiency in compiling, analyzing, and interpreting data to support informed decision-making is essential, along with strong research capabilities and attention to detail. The role also demands excellent interpersonal skills, with the ability to work professionally and effectively across all levels of internal leadership, Board Members, external partners, and vendors. A strict commitment to confidentiality is required, given the sensitivity of many responsibilities. Duties and Responsibilities This role will provide administrative support for several focus areas as well as general administrative support as assigned. Governance Support: • Assist in updating organization policies and procedures, ensuring they are current and reflect best practices for BCSP., • Communicate policy changes and updates to relevant stakeholders., • Manage and research inquiries related to the misuse of BCSP logos and trademarks. Oversee the intake, investigation, and documentation of reports involving unauthorized or improper use of BCSP intellectual property. Conduct thorough research to verify claims, coordinate with legal counsel when necessary, and ensure appropriate action is taken in line with policies and procedures., • Manage the review of criminal conviction submissions. Facilitate the process for reviewing applicant and credential holder disclosures of criminal convictions. Ensure all required documentation is received, maintain confidentiality, conduct preliminary assessments for completeness and relevance, and coordinate reviews with legal counsel., • Manage the review and research of disciplinary action complaints. Oversee the intake and evaluation of complaints involving potential violations of BCSP ethics or conduct policies. Conduct background research, gather relevant documentation, and prepare case materials for review by internal or Board committees., • Manage and maintain records relating to Intellectual Property, Trademarks, and Copyright materials. Maintain organized, up-to-date records of all BCSP-owned intellectual property, including trademarks and copyrighted content. Coordinate filings, renewals, and correspondence with legal advisors or regulatory bodies. Ensure proper usage across platforms and track instances of unauthorized use for follow-up and enforcement., • Manage BCSP’s Privacy and Confidentiality Activities. Act as BCSP’s Privacy Officer for requirements based on U.S. regulations/law and globally, such as GDPR. Communicate with staff and external legal counsel on requirements, coordinate any required external notifications with appropriate department(s), regularly review all related policies and procedures., • Manage submissions for completeness and required documents received., • Conduct initial screening of applications for eligibility and notify ineligible applicants. Engage with internal staff to verify any uncertain details., • Collaborate with external reviewers to gain access to platform and communicate clear assessment guidelines for reviewing applications. Manage any conflict among reviewers., • Maintain organizational processes for all BCSP agreements including tracking, filing, and maintaining of agreements and contract version control requirements., • Function as contact point for guidance on RFIs, RFPs, and all other agreement/contract processes and coordinate with agreement facilitators on renewals, legal review, etc., • Review of draft agreements, identification of necessary/recommended revisions facilitation of reviews with outside counsel., • Engage fully with the policy and procedure (P&P) process. Act as a system administrator and main point of contact providing guidance for all departments, • Provide editorial and technical support during accreditation activities such as preparation and completion of external accrediting body assessments/ surveillances, internal audits, and annual management review., • Industry Outreach Reporting Process, • Participate with other staff members in the development, implementation, and ongoing maintenance of an industry outreach reporting process, which will include requests, approvals, reporting, and expense tracking. • Associate's or Bachelor's degree in business administration, office management or related field is preferred, • 2 or more years of senior-level administrative support; managing multiple priorities and deadlines with efficiency and accuracy, • Must have proficiency and skills with Microsoft Office Suite (Word, Excel, and Outlook)., • Prefer experience with Smartsheet, ShareFile, Policy Tech or similar applications., • Must have strong interpersonal skills including professional etiquette and written communication skills. Additional Eligibility Qualifications Must have the ability to exercise judgment; work independently and collaboratively to complete tasks in a timely manner. Ability to maintain confidentiality with information discovered during work tasks. Critical thinking skills to explore and understand potential downstream impact that actions can have and take them into consideration prior to taking any action. Expected Hours of Work Days and hours of work are Monday through Friday, with starting hours ranging between 7 AM and 9 AM and end hours between 4 PM and 5:30 PM. Exact hours are determined by the department Director.
