Job Description Job Title: Corporate HR Generalist/Leave of Absence Specialist Department: Human Resources Reports to: Corporate HR Manager Revision: December 2024 Note: This position is hybrid, requiring the employee to be onsite at least 2–3 days per week. If working remotely, the individual must reside in a state where we conduct business and be located near one of our company sites. JOB SUMMARY: The HR Generalist/Leave of Absence (LOA) Specialist responsible for managing and administering all types of employee leaves, including but not limited to Family Medical Leave Act, disability leave, military leave, USERRA, personal and medical leaves, worker’s compensation and ensuring compliance with American with Disabilities Act (ADA) federal, state and local regulations by accurately processing leave requests, maintaining detailed records, and providing guidance to employees and managers regarding leave policies and procedures. Essential Duties and Responsibilities: Essential functions, as defined under the American with Disability Act, may include the following tasks, knowledge, skills, and other characteristics. This is ILLUSTRATIVE ONLY and is not a comprehensive listing of all functions and tasks performed by incumbents of this class ESSENTIAL DUTIES AND RESPONSIBILITIES WILL INCLUDE: • Manage employee leave requests, verifying eligibility and required documentation., • Process leaves requests according to company policies and applicable state and federal laws, including but not limited to FMLA, CFRA, ADA, Pregnancy Disability, Worker’s Compensation, Military leave, and other protected leaves., • Conduct employee investigations when necessary to support the department., • Escalate issues to the appropriate management resource as needed., • Communicate with employees and managers regarding leave needs and modified work schedules. Ensure employees are aware of their responsibilities and required documentation., • Work closely with HR, Payroll, and Benefits to ensure leaves are properly monitored and tracked weekly., • Communicate leave approvals and denials to employees and managers., • Serve as the point of contact for leave programs under the direction and guidance of HR leadership and the legal department., • Administer leave requests, send required notices, forms, and letters, determine leave eligibility, and maintain accurate leave files. Calculate leave duration and monitor activity to ensure compliance., • Update managers on leave status and return-to-work or modified duty updates., • Coordinate with the Benefits specialist to ensure proper benefit tracking for employees on leave., • Demonstrate strong judgment by anticipating the consequences of actions and weighing multiple, sometimes conflicting priorities., • Coach employees, managers, and HR professionals on web-based processes, legal requirements, and policies regarding leaves., • Serve as the subject matter expert for leave of absences and coordinate with others regarding benefits and workers' compensation programs., • Interpret and administer leave programs and policies in accordance with applicable laws and coordinate with sites to manage leaves., • Approve or deny leave cases based on medical information and ensure compliance with HIPAA and employee privacy guidelines., • Advise managers and employees on the interaction of leave laws with paid time off, workers’ compensation, short-term and long-term benefits., • Train and educate field personnel, including supervisors and non-supervisors, on leave processes and procedures., • Provide critical thinking regarding absence management processes. Identify trends and make recommendations for continuous process improvements to management., • Coordinate with managers to develop modified work schedules or return-to-work accommodations., • Identify potential compliance issues and address them proactively., • Maintain accurate recordkeeping of all leave documentation to ensure compliance management., • Provide clear and concise information to employees regarding leave policies and procedures., • Collaborate with OM and HR to address complex leave situations., • Process incoming calls, emails, and system notifications regarding leaves of absence, providing prompt and accurate service., • Work closely with benefits to help track missed deductions and deductions catch-ups., • Facilitate communication between employees on leave, managers, and healthcare providers regarding return-to-work plans., • Coordinate necessary accommodations for employees returning from leave based on ADA requirements., • Generate reports on leave usage trends and patterns., • Gather employee grievances when they call the company hotline., • Conduct employee investigations when necessary to support the department., • Analyze leave data to identify potential areas for policy improvement., • Perform other duties as assigned. REQUIREMENTS: • Exceptional verbal and written communication skills., • Excellent presentation skills in English and Spanish., • Ability to work independently and as part of a team., • Strong teamwork and customer service skills., • Well-organized, dependable, and able to prioritize tasks., • Maintain confidentiality and work effectively with all departments., • Proficient with Microsoft Office Suite (Word, Excel, Outlook, OneNote, Teams, OneDrive)., • Strong understanding of federal, state, and local employment laws in the US., • Proficiency in HR systems and databases., • Detail-oriented with strong organizational skills., • Ability to analyze data and identify trends., • Effective communication in potentially stressful situations., • Quick learner of company policies, procedures, and benefit offerings., • Problem-solving skills in standardized situations. EDUCATION AND EXPERIENCE: • Bilingual English/Spanish a must (ability to read, write, speak), • Benefits administration: 5 years (Preferred), • Human resources: 3 years (Preferred), • Bachelor’s degree or equivalent experience in HR (Preferred) KNOWLEDGE SKILLS AND ABILITIES: • Ability to speak, read, and write fluently in English and Spanish., • Ability to solve practical problems and deal with several variables in situations where only limited standardization exists. Other Skills and Abilities: Dependability and punctuality are mandatory. Must be able to work Monday through Friday. There may be some extended work hours including weekends on an as needed basis.
