Job Description EVENTS COORDINATOR & ADMINISTRATIVE SPECIALIST Organization: North Carolina Association of Electrical Contractors (NCAEC) Location: Greensboro, NC Employment Type: Part-Time Reports To: Director of Membership and Executive Director About NCAEC For nearly 90 years, the North Carolina Association of Electrical Contractors has been empowering North Carolina's electrical contractors to build, grow, and thrive. We provide comprehensive support through our flagship apprenticeship program, business resources, legislative advocacy, and statewide events that strengthen our electrical contracting community. Position Overview We're seeking an organized, detail-oriented professional to serve as our Events Coordinator and Administrative Specialist. This role is the backbone of NCAEC's operations, managing 13+ annual events, supporting our apprenticeship program, and ensuring smooth daily office operations. Key Responsibilities Event Planning & Coordination (60%) Manage 13+ Annual Events Including: • 4 Golf Tournaments across the state, • 8 Pheasant Shoots, • Annual Convention & Trade Show (in Myrtle Beach), • Plan, coordinate, and execute all aspects of events from concept to completion, • Secure venues, negotiate contracts, and manage vendor relationships, • Coordinate event logistics including registration, catering, equipment, and supplies, • Manage event budgets and track expenses, • Oversee event marketing and member communications, • Handle on-site event management and troubleshooting, • Process registrations and manage attendee lists, • Track apprentice enrollment, attendance, and progress, • Maintain apprentice records and documentation, • Coordinate with community college partners, • Process apprentice certifications and completions, • Serve as primary point of contact for member inquiries, • Manage daily office operations and correspondence, • Maintain filing systems (physical and digital), • Prepare reports, presentations, and documentation, • Process invoices, expense reports, and vendor payments, • Maintain office supplies and equipment, • Coordinate internal meetings and communications, • Provide administrative support to leadership team, • Process apprenticeship requests Required Qualifications Experience: • 2+ years of event planning/coordination experience, • 2+ years of administrative or office management experience, • Proficient in Microsoft Excel, • Proficient in Microsoft Office Suite (Word, PowerPoint, Outlook), • Experience with database systems or willingness to learn new platforms, • Exceptional organizational and time management skills, • Strong attention to detail and accuracy, • Excellent written and verbal communication, • Ability to work independently and take initiative, • Professional demeanor and customer service orientation, • Problem-solving and critical thinking abilities, • Valid driver's license and reliable transportation, • Ability to work occasional evenings and weekends for events, • Willingness to attend the convention and local events (2) Preferred Qualifications • Experience with association or nonprofit organizations, • Experience with membership databases or CRM, • Experience with budgeting and financial reporting What We Offer • Competitive salary commensurate with experience, • 401(k) retirement plan with employer match, • Paid time off and holidays, • Professional development opportunities, • Supportive team environment, • Opportunity to make a real impact on North Carolina's electrical industry Working Conditions • Primary Location: NCAEC office in Greensboro, NC, • Schedule: Part-time, Monday-Thursday; occasional evenings/weekends for events, • Work Environment: Professional office setting with event-based field work What Success Looks Like In 90 Days: • Successfully planned and executed 2-3 events, • Proficient with new database system, • Established strong relationships with vendors, • Streamlined event planning processes, • Confidently managing all 13 annual events, • Improved efficiency in office operations, • Recognized as the go-to expert for all NCAEC events, • Enhanced member experience through improved event quality, • Optimized apprentice tracking and reporting, • Integral member of the NCAEC team How to Apply Please submit the following to : • Resume We will review applications on a rolling basis and contact qualified candidates for interviews.
