For more information, please visit: https://www.gardnerskelton.com About the Role We’re seeking an exceptional and experienced Legal Assistant who thrives on keeping busy attorneys, executives, and legal teams organized, prepared, and running smoothly. This role is ideal for someone who brings the polish and judgment of an executive assistant, the precision of a legal assistant, and the proactive mindset of a true problem solver. This is not a paralegal role. While legal document preparation, matter coordination, and client communication will be part of the job, the heart of this role is high-level administrative support: managing calendars, tracking deadlines, coordinating logistics, organizing information, preparing materials, communicating professionally, and helping attorneys stay focused on serving clients. Successful executive assistant experience would translate very well to this role. If you’ve supported busy executives, managed complex calendars, handled confidential information, prepared polished materials, and helped high-performing professionals stay organized and prepared, many of those skills will be directly applicable here. The right person will be highly organized, detail-obsessed, tech-comfortable, discreet, and energized by being the person others can rely on to keep things moving. You’ll be trusted to take ownership, anticipate needs, and make a meaningful impact on the daily rhythm and effectiveness of the firm. What You'll Do • Act as a friendly, professional, and highly reliable point of contact for clients, attorneys, colleagues, vendors, and other outside parties., • Provide high-level administrative support to attorneys and firm leaders, including calendar management, scheduling, meeting coordination, document organization, and follow-up tracking., • Manage calendars, deadlines, appointments, reminders, and related logistics to help attorneys stay organized, prepared, and on schedule., • Draft, format, prepare, and proofread professional correspondence, reports, presentations, and legal documents with exceptional attention to detail., • Assist with legal administrative tasks such as preparing basic pleadings and correspondence, organizing matter materials, conducting conflict checks, preparing engagement agreements, and supporting e-filing workflows., • Create clear, professional, and polished PowerPoint presentations and other materials for internal and external use., • Help organize information, documents, and processes so attorneys and teams can work more efficiently., • Continuously identify ways to improve administrative systems, streamline workflows, and make day-to-day operations smoother. What You Bring • A minimum of 3 years of experience in a Legal Assistant, Executive Assistant, Administrative Assistant, or similar high-level support role, ideally in a professional services or law firm environment., • Exceptional organizational skills and the ability to manage multiple priorities, calendars, deadlines, and personalities without losing track of the details., • A proactive, service-minded approach — you notice what needs to be done, anticipate needs, and follow through without needing constant direction., • Strong communication skills and the ability to interact confidently and professionally with attorneys, clients, colleagues, executives, and outside parties., • Excellent writing, proofreading, formatting, and document preparation skills., • Tech proficiency, especially with Microsoft Office Suite, Outlook, Teams, PowerPoint, and document management or case management systems. Experience with NetDocs and Centerbase is a plus., • Familiarity with legal administrative processes, including conflict checks, engagement agreements, e-filing portals, legal correspondence, and basic court filings., • Strong judgment, discretion, and professionalism when handling confidential information, along with a calm, solutions-oriented mindset in a fast-paced environment.
