Responsibilities • Draft correspondences and other formal documents, • Assist with Staffing schedules, • Greet visitors and manage the front desk with friendly professionalism, ensuring a positive first impression., • Operate multi-line phone systems efficiently, directing calls to appropriate personnel and taking detailed messages., • Maintain organized filing systems, both physical and digital, including data entry and document proofreading., • Manage calendar appointments, schedule meetings, and coordinate events using tools like Google Workspace and Microsoft Office., • Support bookkeeping activities using QuickBooks or similar software, including invoicing and expense tracking., • Assist with clerical tasks such as photocopying, faxing, mailing, and preparing correspondence., • Provide excellent customer support via phone, email, or in person by addressing inquiries promptly and courteously., • Handle office management duties such as ordering supplies, maintaining office equipment, and ensuring a tidy workspace., • Support personal assistant tasks when needed, including travel arrangements or special project coordination., • Prior office experience or administrative support roles preferred; experience in medical or dental reception is a plus., • Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools., • Familiarity with QuickBooks or bookkeeping software is desirable for financial tasks., • Bilingual abilities are highly valued to assist diverse clients and team members effectively., • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment., • Excellent communication skills—both verbal and written—with attention to detail for proofreading documents., • Experience handling multi-line phone systems, calendar management, filing systems, and office management procedures is essential.
