Job Description JOB SUMMARY: Under direction, plans, organizes, coordinates and manages the activities of clerical and technical staff in the Moisture Intrusion and Damage Restoration work centers. Conducts management audits and operations analyses; Reviews and provides recommendations on policy issues involving moisture damage and repair, damage restoration caused by member alterations, mold and lead remediation, asbestos abatement and clearance, fire restoration, vehicle accidents and provide customer service. Work involves extensive customer service and interaction with residents, contractors, professional hygienists, and other departments engaged in the restoration of residential manors and GRF Facilities. Provides technical review, conditioning of propose improvements; inspection; coordination of repairs and restorations of moisture-related damage to residential manors and other on-site facilities; presentations to the maintenance and construction and executive committees; and the preparation of both written and database reports. ESSENTIAL FUNCTIONS: Confers with the Maintenance and Construction Assistant Director concerning objectives, new or revised policies, operating issues and matters affecting other departments or divisions; plans and implements new programs or procedures in accordance with established objectives; develops work plans for operations reviews; assesses discipline, workforce requirements, schedule, and cost and time constraints; and defines purpose, objectives and specific tasks. Drafts the divisions’ budgets for the Director’s review and assists with the administration of the adopted budget. Attends budget meetings and workshops, as requested by the Assistant Director. Coordinates with Accounting regarding resolution of billing disputes. Provides administrative oversight, planning, organization, and contract administration of emergency remediation and restoration contractors, and professional services. Monitors the type and volume of customer concerns, determines daily work priorities and coordinates scheduling with affected personnel. Monitors staff efficiencies and identifies areas of needed improvement. Coordinates closely with IT regarding implementation and usage of software to process requests and records as well as determine if any new hardware can be obtained to ensure staff is working as efficiently as possible. 909-Maintenance Div. - 1154-909 Damage Restoration Manager | Dayforce Jobs 2/4 Works with supervisor in delegation of the workload; assists in resolving difficult or unusual service problems; resolves a variety of resident inquiries through personal conferences, as required; provides coordination and assistance in inspections, reimbursements, management of outside contractors for repairs and restoration, supervises an orderly filing system; processes time cards and vacation/sick approvals for proper work center coverage, as required; directs the work of personnel engaged in assisting with water damage inspection and restoration coordination. Selects and evaluates personnel; supervises and directs the work of subordinates; and assists in planning and implementing department training and safety programs. Provides feedback to employees throughout their review period. Provides feedback during employee performance review that is timely, specific, honest and designed to help the employee succeed. Drives a vehicle to meetings, workshops and other job-related responsibilities. Responds to emergency calls after-hours and on weekends as related to moisture intrusion events, fires and vehicle accidents. Regular Attendance Required. NON-ESSENTIAL FUNCTIONS: Prepares and make presentations to Committees and Boards regarding matters concerning Moisture Intrusion Events and Damage Restoration. Drafts detailed and polished responses for the Maintenance and Construction Assistant Director to Director, Board Members, CEO, and resident inquires pertaining to the Damage Restoration Division operations. EQUIPMENT OPERATED: Vehicle, PC, printer, calculator, tablet, camera, hand-held radio, copy machine, cell phone, moisture metering equipment, and landline office telephone. WORK ENVIRONMENT: While performing the duties of this job, the employee is in a climate-controlled indoor office and normal outdoor elements. Employee is also required to conduct field visits and inspections to ensure quality and timely execution. Must be medically certified to wear proper PPE as required. DESIRABLE QUALIFICATIONS: Four-year degree from an accredited college or university with major coursework in Engineering, Architecture and/or Construction Management with thorough experience in water damage restoration, building construction or inspection, or 5 years’ relevant experience in any equivalent combination of education and experience which produces the following: • Knowledge of PC and applicable software programs (Microsoft 365 – Outlook, Word, Excel, PowerPoint, and Dynamics 365), • Knowledge of the occupational hazards and safety precautions of the job, • Knowledge of mold and mildew remediation processes and procedures, • Knowledge of abatement procedures for asbestos containing materials, • Knowledge of abatement and RRP procedures for lead paint containing materials., • Knowledge of control of silica dust processes and procedures, • Knowledge of the principles of administrative management and sources of, • authoritative information, • Knowledge of principles and practices of building and construction and methods of report presentation, • Ability to prepare reporting templates for repair records and reports and to analyze and evaluate such records for planning purposes, • Ability to lay out and supervise the work of moisture intrusion and inspection, • personnel, performing various tasks in a manner conducive to full performance and high morale, • Knowledge of residential building practices, and California building codes, • Ability to design, conduct, analyze and interpret research findings, • Ability to write polished reports and make clear and concise presentations, • Ability to maintain effective working relationships with other employees and the public, and to deal with public relations problems courteously and tactfully, • Knowledge of Project Management and Contract Administration principles while adhering to a critical time path, • Ability to obtain a valid Asbestos Contractor/Supervisor Certification, • Ability to obtain a valid Lead Certification, • Ability to obtain a valid IICRC Mold Certification PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is frequently required to talk, hear and use hands to finger, grasp, feel and reach. The employee is regularly required to sit for long periods of time (up to 7 hours) and use repetitive motion to operate a keyboard for long periods. The employee is occasionally required to kneel, pull, push, stoop and lift and carry up to 10 lbs.
