JOB RESPONSIBILITIES: 1. Clinical Operations/Patient Flow* (60%): A. Assists in organizing the flow of patients in clinic. B. Ensures the provision of services occurs in a manner congruent with patients' needs, established quality of care standards, and timeliness of service. C. Works effectively with the WHN's clinical providers and triage/scheduling staff to coordinate adjustments to medical providers’ schedules based upon patients' requests for services and their respective level of urgency as assessed by the Triage Nurse (as outlined by WHN triage protocols). D. Updates and maintains appropriate and concise documentation in the patient’s medical record. E. Assist in managing the triage function by contacting and responding to patient phone calls and assist in triage emergent patients in the clinic. F. Coordinates and delivers a standardized level of medical services to patients under the supervision of the provider for the diagnosis, treatment and prevention of disease. G. Arranges, coordinates, and sometime provides training / instruction for the nurses and medical support staff. H. Ensures that all emergency equipment is properly stocked and stored for the care of patients. I. Ensure the lab is maintained in an orderly fashion and monitors and orders lab supplies, when appropriate. J. Restocks supplies, monitors supply usage, and submits supply reorder in a timely manner. K. As needed, sterilizes, repacks and labels, including writing in dates, instruments. As required, completes biological monitoring and testing of sterilizers. L. Adheres to Health Center safety regulations, emergency preparedness plans, infection control policies, fire & safety guidelines, hazardous materials and Blood + Body Substance precautions as well as comply with OSHA and CLIA, and any other regulatory agency guidelines pertaining to the Health Center. M. Utilizes universal precautions while treating patients as well as when handling infectious/ hazardous waste material. N. Monitors and orders the DME supplies, as needed. P. Provides triage for patients, conferring with clinical providers as needed. Q. Maintains patients’ immunization logs, as appropriate, by documenting pertinent data including, but not limited to, patient name, lot number, expiration date, and signature or initials. R. Performs other assigned duties as required. 2. Patient Services* (20%): A. Educates and/or advises patients regarding care-related issues, (within the scope of his/her training and job duties), in a safe, effective and appropriate manner. B. When indicated, works with the Nurse Manager to function as an internal patient advocate. C. Serves as a "float" clinical support staff member, as needed. 3. Other Duties/Responsibilities* (20%): A. At the request of the Nurse Manager, collects, aggregates and displays data for Quality Assurance monitoring, reports, clinical plans, process improvement activities or other program efforts. B. : in addition to the aforementioned duties, the Back Office Coordinator 1. prepares reports and other documentation as required;, 2. attends meetings and training sessions as required;, 3. conducts all activities in compliance with applicable laws, regulations, standards, and WHN policies and procedures including Blood and Body Substance Precautions; and Education: A. Knowledge of the delivery of ambulatory medical care; B. Maintaining a current license as a medical professional in the State of Indiana as well as the expertise to function as a nurse; C. Knowledge of the daily operations of a primary care, outpatient medical clinic; D. Knowledge of and skill with WHN's electronic medical record and practice management system; E. Knowledge of and skill with the WHN's word processing systems; F. Customer service and telephone skills; G. Time management and project management skills - - the ability to prioritize and complete multiple tasks quickly and efficiently; H. The ability to plan and manage the utilization of resources; and I. Knowledge of rules and regulations related to HIPAA and Corporate Compliance.
