JOB SUMMARY The Lab Assistant is responsible for supporting the overall operation of the laboratory by performing various, non-technical functions and administrative tasks consisting of, but not limited to, preparing media and samples for analysis, washing and sterilizing laboratory equipment and instrumentation, entering data into software systems, and preparing individual sample kits for customers. Position Overview: As the Executive Assistant to the CEO, you will play a vital role in ensuring the smooth functioning of Tidal Jets and supporting the CEO in all administrative and operational matters. You will provide high-level administrative support, manage schedules, coordinate meetings and events, and handle confidential information with the utmost discretion. This position requires a proactive and detail-oriented individual who can thrive in a fast-paced and dynamic environment. Key Responsibilities: 1. Calendar and Schedule Management: Efficiently manage the CEO's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements. Prioritize and handle conflicting commitments to ensure optimal time management., 2. Communication and Correspondence: Serve as the primary point of contact for internal and external stakeholders, including clients, partners, and vendors. Manage incoming calls, emails, and correspondence, ensuring timely and professional responses., 3. Event Planning and Coordination: Assist in planning and coordinating various company events, including the large launch event in July. Collaborate with cross-functional teams to ensure seamless execution, including venue selection, logistics, invitations, and on-site support., 4. Document Preparation and Review: Prepare and review important documents, presentations, reports, and proposals. Ensure accuracy, clarity, and adherence to company standards. Office Management: Oversee the daily operations of the CEO's office, including maintaining supplies, managing records, and coordinating with IT and facilities for equipment and infrastructure needs., 7. Qualifications and Requirements: • Minimum of 3 years of experience as an executive assistant or in a similar role, supporting C-level executives., • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment., • Strong interpersonal and communication skills, both written and verbal, with the ability to interact professionally with stakeholders at all levels., • Proven ability to maintain confidentiality and handle sensitive information with discretion., • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications., • Detail-oriented and proactive, with a demonstrated ability to anticipate needs and take initiative., • Flexibility and adaptability to changing priorities and deadlines., • Knowledge of the private aviation or luxury travel sector is a plus., • Must live within driving/public transportation range for occasional in-person meetings or events.
