Job Description Xebec Realty is a multi-entity real estate organization with operations across multiple office locations. The company relies on a Microsoft-centric technology environment, on-premise infrastructure, cloud collaboration platforms, cybersecurity tools, outsourced IT support partners, and business-critical real estate, finance, and productivity applications. Xebec Realty is seeking a hands-on, business-minded IT Manager to lead and mature the company’s technology operations, infrastructure, cybersecurity, vendor management, and IT governance. This position is based in Dallas, TX and reports to the Chief Financial Officer. Position Summary The IT Manager will be responsible for the overall management, execution, and strategic direction of Xebec Realty’s information technology environment. This role requires a practical, hands-on IT leader who can operate at both the strategic and technical levels: managing vendors and budgets, leading projects, supporting cybersecurity and compliance initiatives, overseeing Microsoft 365 and Windows-based infrastructure, and ensuring reliable support for end users across multiple entities and office locations. The ideal candidate will have experience leading IT operations in a small-to-mid-sized business environment, managing an MSP, and building scalable IT processes. This individual must be comfortable balancing day-to-day technical execution with long-term planning, documentation, risk reduction, and operational improvement. This is an on-site role based in Dallas, TX. Some travel between Dallas, TX and Seal Beach, CA may be required. Key ResponsibilitiesIT Leadership and Strategy • Lead the company’s overall IT function, including infrastructure, systems, cybersecurity, user support, vendor management, budgeting, and technology planning., • Report to the CFO and provide practical, business-aligned technology recommendations to executive leadership., • Develop and maintain an IT roadmap that supports Xebec Realty’s operational, security, compliance, and growth objectives., • Own the IT budget for hardware, software, services, workflows, renewals, support agreements, and technology initiatives., • Evaluate current-state systems and recommend improvements across identity, endpoint management, collaboration, backup, security, documentation, and support operations., • Balance strategic planning with hands-on technical implementation and day-to-day IT execution.IT Operations and Support, • Manage the company’s MSP relationship, including outsourced helpdesk support, recurring patching, Level 1–3 support activities, escalations, service quality, and accountability., • Manage and coordinate with one onsite Level 1–3 technician located in Rockdale, TX., • Determine which IT tasks should be handled internally versus outsourced to the MSP or other vendors., • Improve IT documentation, asset tracking, escalation procedures, onboarding/offboarding workflows, and internal support processes., • Support a user base of approximately 55 users across multiple entities and office locations.Microsoft 365, Identity, and Endpoint Management, • Administer and support Microsoft 365 services, including Exchange Online, SharePoint Online, OneDrive, Defender for Office 365, and Microsoft Office applications., • Manage and improve the company’s current on-premise Active Directory environment., • Evaluate future identity architecture options, including hybrid Active Directory and Entra ID-only approaches., • Support a mixed endpoint environment where most devices are domain-joined and some devices remain in workgroup configurations., • Develop a practical endpoint management strategy, including future use of Microsoft Intune., • Use PowerShell scripting to automate administrative tasks, improve reporting, and support repeatable IT processes., • Support Microsoft 365 security, access control, user administration, licensing coordination, and collaboration governance.Infrastructure and Network Management, • Oversee Xebec Realty’s Windows-based server and network environment across multiple offices and time zones., • Support and manage on-premise Windows Server infrastructure, including physical and virtual servers., • Manage and coordinate network infrastructure, including SonicWall firewalls, Cisco and Aruba switching, and Ubiquiti wireless access points., • Support network segmentation, multi-domain planning, and entity-specific infrastructure requirements., • Maintain reliable connectivity, secure remote access where applicable, and proper network documentation.Cybersecurity, Compliance, and Risk Management, • Lead cybersecurity operations and governance in alignment with Xebec Realty’s business and compliance requirements., • Apply SEC and NIST cybersecurity experience to improve security maturity, documentation, controls, and risk management., • Manage and improve endpoint protection, email security, access control, phishing prevention, and security awareness processes., • Administer and coordinate tools such as Microsoft Defender, Defender for Office 365, Huntress MDR, PhishingBox, and related security platforms., • Support DLP, PII protection, least-privilege access, vendor security reviews, and compliance-driven IT governance., • Participate & manage vendor SOC 2 Type II reviews, vendor risk assessments, contract reviews, and security due diligence., • Maintain a practical, risk-based approach to cybersecurity appropriate for a multi-entity real estate organization.Backup, Disaster Recovery, and Business Continuity, • Own backup, disaster recovery, and business continuity planning across endpoints, servers, and critical systems., • Manage and validate NinjaOne Hybrid backups, including image-based C: drive backups., • Review and refine the company’s existing BDR strategy., • Establish and maintain backup validation, restore testing, documentation, and recovery procedures., • Coordinate with vendors and the MSP to ensure reliable recovery capabilities and appropriate RTO/RPO planning.File Storage, Collaboration, and Data Governance, • Oversee file storage and collaboration platforms, including SharePoint Online, OneDrive, Box.com, ShareFile, Synology Drive Client, and limited legacy shared network drives., • Rationalize overlapping storage and collaboration systems where appropriate., • Support internal and external Synology Drive Client users., • Improve data governance, access control, file-sharing practices, and lifecycle management., • Support SharePoint libraries synced to File Explorer and related user workflows., • Assist with cloud migration, data cleanup, archiving, access reviews, and platform consolidation initiatives.Vendor, Contract, and Application Management, • Manage technology vendors, service providers, software subscriptions, renewals, support contracts, and vendor performance., • Negotiate and review technology contracts in coordination with executive leadership and other stakeholders., • Support and administer business and productivity applications, including Microsoft 365, Zoom, LastPass, NinjaOne, Huntress, Synology Drive Client, Adobe Acrobat Pro, Argus, Google Earth, Global Relay, Box.com, ShareFile, Network Solutions, Yardi, Northspyre, Bill.com, Claude, and ChatGPT., • Coordinate application access, licensing, renewals, user support, vendor escalations, and documentation.Required Qualifications, • 5–7 years of progressive IT experience, preferably in a small-to-mid-sized business environment with broad technical ownership., • Minimum 2 years of experience in IT management, leadership, supervisory, or strategic planning role., • Hands-on experience administering Microsoft 365, including Exchange Online, SharePoint Online, OneDrive, and Microsoft security tools., • Strong experience with Windows Server, Active Directory, Group Policy, endpoint administration, and Windows-based infrastructure., • Required experience with NinjaOne or comparable RMM platforms, with ability to build and manage ticketing, endpoint management, patching, and support workflows., • Required experience with SonicWall firewall administration or comparable firewall/network security platforms., • Required experience with Huntress MDR or comparable managed detection and response platforms., • Required experience supporting SEC-regulated, NIST-aligned, investment, real estate, or similarly compliance-sensitive environments., • Experience managing MSPs, helpdesk vendors, SaaS providers, infrastructure vendors, software renewals, and support contracts., • Experience with cybersecurity operations, backup/DR, endpoint protection, email security, access control, and security governance., • Experience supporting multi-site or multi-entity organizations., • Working knowledge of Microsoft Entra ID, hybrid identity concepts, and endpoint management strategy., • Working knowledge of Microsoft Intune, even if previously implemented in another environment., • PowerShell scripting experience for administration, automation, reporting, or troubleshooting., • Strong documentation, project management, vendor management, and communication skills., • Ability to work hands-on while also leading strategy, budgeting, process improvement, and executive-level planning., • Ability to SharePoint Online, and OneDrive in a mixed file-storage environment., • Experience with Ubiquiti wireless, Cisco switching, Aruba switching, and multi-site network administration., • Experience with backup validation, image-based endpoint backups, BDR strategy, and restore testing., • Experience supporting accounting, finance, real estate, development, or investment-related business applications., • Familiarity with AI productivity tools such as Microsoft ecosystem AI tools, Claude, ChatGPT, or MCP-style workflows., • Experience building IT operations from a transitional or partially outsourced environment into a more structured, documented, and accountable internal function.Executive Home Office Support, • Provide professional, high-touch technology support for executive leadership home-office environments, including business-related systems, connectivity, devices, collaboration tools, peripherals, and secure access to company resources., • Maintain service-oriented approach when supporting senior executives who may require additional guidance, repetition, or high-level explanations of technology concepts., • Communicate technical issues, risks, options, and recommendations in a clear, concise, and business-friendly manner appropriate for executive-level stakeholders., • Exercise discretion, confidentiality, and sound judgment when supporting executive leadership, home-office workflows, personal finance-related technology environments, and sensitive business or personal information., • Troubleshoot and coordinate resolution of home-office technology issues directly or through appropriate vendors, service providers, or the MSP, while maintaining accountability for follow-through and user experience., • Ensure executive home-office technology support aligns with Xebec Realty’s broader cybersecurity, access control, backup, documentation, and vendor-management standards where applicable.
