Job Description Department: Office of the CEO - Communications Reports To: Chief Marketing, Experience, & Engagement Officer (CMEEO) Location: Dallas, Texas – ABOG National Center for Certification and Continuing Education (Uptown); Hybrid Work environment with expectation for 60% in office. Meeting Travel Required (up to 10%) as needed. FLSA Status: Non-Exempt Summary: The Administrative Assistant and Project Coordinator role will provide comprehensive administrative and project coordination support to the Chief Marketing, Experience, & Engagement Officer (CMEEO), plus the Communications and Meeting & Events (M&E) teams. This role requires a proactive individual with strong organizational skills, attention to detail, and the ability to manage multiple priorities. The ideal candidate will be adept at coordinating complex schedules and supporting various projects to assist in the daily operations of the Communications department and Meeting & Events (M&E) team. Essential Duties and Responsibilities: Core Administrative Support Support Chief Marketing, Experience, & Engagement Officer (CMEEO) with various administrative duties, including: • Scheduling and coordinating meetings with Communications and M&E teams, as well as with other leaders and teams., • Prepare and edit correspondence, reports, and presentations., • Order supplies as needed to support Comms and M&E teams., • Maintain physical and digital filing systems., • Support project planning, execution, and tracking of project deliverables with the initiative and intent to improve and streamline processes and integration across the organization., • Liaise and communicate with internal stakeholders to ensure project alignment and up-to-date status reporting across the organization., • Assist department in coordination of communications activities and assets production/distribution to ABOG stakeholders., • Draft and distribute meeting minutes and follow-ups., • Support CMEEO and the M&E team as needed with event coordination for stakeholders and external organizations as well as internal staff activities to enhance experience and engagement., • Assist as needed to support in-person exam delivery during Certifying Exam weeks., • Use Survey tools (e.g., SurveyMonkey) and virtual meeting platforms., • Demonstrate proficiency in Microsoft Office Suite and SharePoint platforms; willingness to learn new platforms or systems as needed to support departmental efforts, including ABOG’s SendGrid email platform. Required • Demonstrable Proficiency: Candidates may be required to demonstrate proficiency in essential skills during the interview process (e.g., work samples, analysis exercise, and communication brief)., • Previous experience (2+ years) in an administrative assistant and/or project coordinator role., • Excellent organizational and time management skills., • Strong written and verbal communication skills., • Ability to handle confidential information with discretion., • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)., • Strong interpersonal skills and the ability to work effectively with diverse teams., • Bachelor's degree in Business Administration, Communications, or a related field., • Previous experience with social media coordination support., • Familiarity with project management tools, like Monday.com. The following essential functions describe what must be accomplished and may be performed with or without reasonable accommodation: • Primarily sedentary computer-based work; frequent keyboard/mouse use and on-screen analysis., • Regular verbal and written communication in meetings and documentation; ability to present findings., • Occasional standing/walking/meeting facilitation; occasional lifting/carrying of typical office items (up to 20 lbs.). WORKING CONDITIONS Typical professional office/administrative environment with low noise levels; hybrid schedule with 60% in-office presence (role-specific positions that align with the nature of their work) and periodic travel for meetings/conferences.
