Job Description Summary/Objective: The Customer Experience Concierge is the welcoming face of our Headquarters located at Downtown Bottleworks, dedicated to creating memorable experiences for guests and employees. This role centers on warm hospitality, proactive support, and service-oriented communication, especially addressing employee needs related to ordering supplies, building assistance, and workplace support. Key responsibilities include greeting guests, maintaining shared spaces, managing supplies and amenities, supporting events and meetings, assisting with projects as they arise, and fostering a positive, community-focused environment. The ideal candidate is welcoming, proactive, organized, and committed to continuous improvement and collaboration. Duties/Responsibilities: Essential functions Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions. • Warm Guest Reception: Welcome guests at the front desk with genuine enthusiasm, accompany them around the space, and proactively offer personalized assistance to ensure every visitor feels welcome and cared for., • Supportive Communication: Serve as a key resource for employees by responding to requests related to ordering supplies, assisting with building-related needs, and providing helpful guidance with a friendly and solution-oriented approach. Ensure communication is service-oriented, addressing employee needs promptly and thoughtfully to support a smooth workplace experience., • Shared Space Excellence: Ensure all shared spaces are maintained to the highest standards, collaborating with janitorial services and regularly checking in to create a comfortable, inviting environment, • Supply & Machine Management: Order supplies for resource centers, social hubs, kitchens, and general HQ needs, anticipating needs before they arise. Oversee machines and ongoing service contracts (Bevi, ice machines, coffee makers, plant watering, etc.) to ensure smooth operation, • Social Space Stewardship: Maintain social spaces by managing dishes, cleaning counters, and gently reminding guests of etiquette, always fostering a sense of community and belonging, • Event & Meeting Support: Coordinate catering for events and visits, reserve and reset meeting rooms, assist with event setup, test technology, configure spaces, prepare name badges, and print documents for attendees, • Message & Calendar Management: Manage digital messages (TVs, Vesta) and maintain meeting room calendars to ensure seamless scheduling and communication, • Facilities & Security: Manage the door locking system and badges in partnership with the Facilities Manager, ensuring a safe and secure environment for all, • Project Support: Provide proactive support for project management tasks as needed, always ready to help with a positive, solution-oriented mindset Competencies • Hospitality Mindset: Foster a welcoming atmosphere, anticipating guest needs and going above and beyond to resolve issues with patience and empathy., • Community Builder: Encourage positive interactions among guests and staff, supporting social events and activities that bring people together., • Continuous Improvement: Invite feedback from guests and colleagues, actively participate in team meetings, and share ideas for enhancing the guest experience., • Highly Supportive: Regularly check in with guests and staff, address concerns promptly, and maintain a positive, helpful attitude in all interactions., • Excellent interpersonal and communication skills, with a friendly and approachable demeanor, • Strong organizational skills and attention to detail, • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment, • Proactive problem-solving skills and a positive, solution-oriented attitude, • Comfort with technology (phones, printers, meeting room tech, digital messaging systems), • Ability to work collaboratively with diverse teams and build positive relationships, • Flexibility to adapt to changing needs and willingness to take initiative, • Commitment to continuous improvement and openness to feedback Supervisory responsibilities None Work environment On-site, office setting Physical demands • Frequent walking and standing to greet guests, support meetings, and maintain shared spaces., • Occasional lifting and carrying of office supplies, catering items, and light equipment (typically up to 25 pounds)., • Reaching, bending, and stooping to access storage areas, tidy social spaces, and assist with event setup., • Manual dexterity for operating office equipment such as printers, badge systems, and digital signage., • Visual acuity to monitor digital displays, read documents, and ensure space presentation standards., • Ability to move between floors or buildings as needed to support various workplace needs., • Flexibility to stand or sit for extended periods, depending on the day’s activities. Required education and experience • High school diploma or equivalent required., • Associate’s or Bachelor’s degree in Hospitality Management, Business Administration, Communications, or a related field preferred., • Equivalent combination of education and experience will be considered., • 2–4 years of experience in hospitality, customer service, office coordination, or a concierge role, preferably in a corporate or professional setting., • Demonstrated ability to create a warm, welcoming, and supportive environment for both guests and employees., • Proven track record of managing multiple tasks and priorities effectively in a fast-paced environment.
