Job Description Title: Instrument/Power Supervisor Department: Instrument Repair Reports to: Operations/QA Director Position Description - Summary: The primary responsibilities of this position are to provide high quality cost effective repairs on for instrument and power equipment for hospitals, medical clinics, and surgery centers. This position will directly supervise and coordinate the activities of instrument and power operations; such as technician performance, quality, turn-time, and on-time delivery. An important aspect of this role is the coaching, teaching, and mentoring of each team member with the intent of helping each technician reach the highest technical level of instrument repair they are capable of achieving. Additionally, this position will assist the BPI Medical Operations Director in the aggressive and successful growth of the assigned in-house repair departments. The Supervisor provides the leadership, management and vision necessary to ensure that the in-house repair departments have the proper operational controls, cost controls, administrative and reporting procedures, and the human capital performance systems in place to ensure operating efficiency and the financial strength of the departments. On a daily basis; plans, directs, and coordinates the repair operations of the Instrument and Power Departments for the company. Essential Functions and Duties – Technician Responsibilities: • Evaluate, troubleshoot, and diagnose the performance issues and repair needs for Instruments., • Properly perform and fill out incoming and outgoing inspections., • Using Made2Manage (M2M), input data entry for incoming quotes and approvals., • Utilize job folders, blueprints, drawings, work instructions, procedures, and test equipment to determine methods and sequences of operations needed to repair instruments., • Evaluates, plans for, and properly administers part stock inventories by checking stock to determine amount available; anticipating needed stock; placing and expediting orders for stock; verifying receipt of stock, and entering the correct data amounts into M2M., • Documents repair actions by completing repair and quality administrative paperwork., • Accomplishes organizational goals by accepting ownership for professional development, accomplishing new and different requests; and exploring opportunities to add value to your position and your department., • Select the appropriate tools, materials, and parts necessary to perform repairs., • Effectively use repair-related hand tools; such as dremels, hammers, screwdrivers, pliers, punches, drills, dies, taps, belt sanders, grinding wheels, bead blasters, burnishers, polishers, soldering equipment, and acetylene torches., • Effectively perform Instrument repair tasks such as cleaning, reading and producing diagrams, learn and operate data management program., • Maintains equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; and instructing supervisors on the need for repairs., • Perform all form, fit, functional, quality, and performance tests on all repairs., • Upon completing repairs, provide a complete outgoing inspection. Update paperwork with the repairs performed and correctly enter into M2M all issued inventory parts., • Demonstrate ability to read, understand, administer, and manage data entry into production-related software, such as Made 2 Manage is critical., • Maintains safe operations by adhering to safety procedures and regulations., • Maintains continuity among work shifts by documenting and communicating repair-related information, needed actions, and possible irregularities., • Provide, engage in, and initiate Lean Six-Sigma ideas, goals and visions for continuous improvement programs. Essential Functions and Duties – Supervisory: • Review customer orders and paperwork. Create quotes when necessary., • Create repair documents for all incoming work based on quotes and approvals., • Monitor and effectively manage the repair job boards to ensure proper turn-times., • Ensure accountability and accuracy for all coordinations with customer service, shipping/receiving, and the management team. Communicate delays and problems to customer service in a timely manner., • Maintain, supervise, and manage all Made 2 Manage (M2M) requirements. Ensure that each technician is accurately logging into and out of M2M, applying the correct time to specific jobs, issuing accurate part and lot numbers into the correct jobs, and noting all repairs performed for invoice documentation., • Provide accurate status reports during daily BPI Management Team meetings., • Manage the purchase order report, sales order report, and the department job board., • Support the Purchasing Department by performing accurate cycle counts of the department’s inventory. Verify incoming part receipts to correctly manage inventory orders for both job requests and stock., • Create department work schedules, correctly and accurately scheduling labor to jobs to ensure both on-time delivery and the proper labor cost controls., • Create and maintain repair-related policies, procedures, and work instructions as required., • Ensure new technicians receive necessary training to be successful. Ensure at least one team member is fully trained in performing the primary lead functions in their absence (quoting, job board management, quality control, safety)., • Maintain the department Skills Board. Set employee skills development goals and bench marks for both new and existing team members., • Monitor, manage, and assign continuous improvement tasks found on the departments’ project status ‘White Board.’, • Manage the department’s safety programs and policies; machine guarding, soldering safety, hearing protection, safety committee representation, air quality management and all other relevant safety elements. Responsible for all safety developments, initiatives, trainings, and operations every day. Immediate partnership with management is required to redesign or reengineer the work activity in a manner which removes or mitigates the safety concern. Additionally, must work with HR to partner on safety issues, complaints, and incidents and follow timelines for safety requirements as assigned by HR department., • Work with HR department to initiate personnel actions, such as the development of staffing requirements, hires, promotions, transfers, discharges, reorganizations, or disciplinary measures., • Oversee the supervision of staff, staff work schedules, staff work quality, equipment, and production work schedules. Ensure each repair staff member has the time, training, supervision, and direction to accomplish company objectives. Essential Functions and Duties: Administrative • Review financial statements, quality data, job boards, sales and activity reports, and other key performance indicators and data to measure productivity and goal achievement. Direct and coordinate repair department financial and budget activities to fund operations, maximize investments, and increase efficiency. These functions must balance with cost control, cost reduction, and program improvements., • Monitor and direct the work levels and work performance of the repair team., • Manage policy development, implementation, and deployment in the areas of production, quality, cost controls, Lean Manufacturing techniques, on-time delivery, safety, customer satisfaction, employee relations, visual controls and repair department performance measures., • Balance the repair department’s work cell capacity and throughput workload across the facility. Research, develop, and implement 5-S, Kaizen, Value-Stream Mapping, and Lean Manufacturing techniques., • Effectively plan for, design, coordinate, and implement the DMAIC structure., • Assist staff members in the development and formulation of long and short-range planning, strategy development, policies, programs and objectives., • Oversee the sourcing, selection, and procurement of replacement and repair parts., • Ensure collaboration and partnership from all parties during the investigation of accidents and injuries. Ensure the completeness and legality of the safety reports and findings., • With direction from HR department and/or Director, counsel employees about work-related issues and assist employees to correct job-skill deficiencies., • Ensure that local, state, and federally required safety requirements are being met. Ensure that worker training in safety, repair, maintenance techniques, operational procedures, and equipment validation is completed to the legal standard. Required Education or Certifications: This position requires one to three years of precision repair experience within a manufacturing environment. Knowledge of soldering applications, measurement tools, mathematics, and blueprint reading is important. Ability to use the Microsoft Office suite of products is also preferred. Collaborative and Supervisory Demands: This is a highly collaborative and communicative position. It requires constant communication with both internal and external customers in person, by electronic mail, or by phone or fax. The ability to communicate accurate messages regarding evaluations, job quotes, and repair results is critical. Demonstrating professionalism and tact is an essential function of the job. Physical Demands: Vision correctable to 20/20 with full-color spectrum recognition is required to discern small variances in measurement, material, and quality. This position must be able to visually and physically determine focus variations within tolerances equal to scalpel sharpness. Predominantly required to sit, stand, and walk as part of the daily routine. Based upon the relationship to manufacturing and production, the ability to move or transport goods and materials, up to 40 pounds unaided, is important but not required. Safety Requirements: Each position with BPI Medical must demonstrate, 100% of the time, that they can perform each required and assigned task in a manner which is safe. BPI team members should not perform any task which is considered unsafe. Immediate partnership with management is required to redesign or reengineer the work activity in a manner which removes or mitigates the safety concern. Working Conditions: This is an indoor-based position located in a repair facility. The work is generally a mix between sitting and standing, predominantly sitting. Moderate but rare lifting, up to 40 pounds unaided, is important but not required. A flexible work schedule, based upon work flow and hospital demand, is required.
