Job Description Special Events & Development Coordinator Position Description The Cypress College Foundation seeks an energetic, organized, professional and self-motivated individual to plan and execute events. The Special Events Coordinator is a highly responsible and visible role within the Foundation. The incumbent plans and executes events to directly raise funds while cultivating, recognizing, educating, and stewarding donors and prospects. This position carries a high degree of autonomy and will work collaboratively with the Director of Development and Executive Director to implement a plan and strategy for each event. Qualifications The strongest candidates will have considerable experience in planning events of all varieties, including a gala dinner, golf tournament, and numerous cultivation events. The ability to interact with executive level administrators, government officials, donors/prospects, alumni, and development staff, with an understanding of protocol and confidentiality is required. General Responsibilities • Planning, coordinating, and executing all aspects of events. i.e., securing venues, catering, florists, parking, managing invitations, RSVPs, and other event related matters., • Liaises with College leadership, event Committees and the Communications department on the development of media, marketing materials, announcements, photo opportunities and event scripts., • Assists in developing new events, and maintains, organizes, and manages existing fundraisers and special events from concept to completion, ensuring they operate smoothly, efficiently, and generate maximum revenue and exposure., • Provides input on stewardship strategies to ensure seamless transition between fundraising events and stewardship activities., • Provides volunteer coordination and direction to volunteers for special events., • Creates, prepares, and distributes meeting notes and supporting documents., • Utilizes donor database, e-mail marketing, publishing programs, and social media to coordinate events., • Coordinates guest lists, food service arrangements, menu planning, decorations and table set up, nametags and staffing., • Coordinates production and distribution of print materials for donor/sponsor/and participant’s solicitations., • The ability to work well independently on several projects concurrently, and possess excellent communication, organizational and creative thinking skills., • Experience in planning and implementing events including expertise in attracting sponsorships and auction items; proven track record in developing and implementing promotion plans., • Software proficiency in Microsoft Word, Excel, Power Point, is required, knowledge and experience in the fundraising database programs is preferred., • Project Management, organizational and prioritizing skills; problem solving and organizational skills; attention to detail is imperative., • Demonstrated high energy level and flexibility, pleasant persona coupled with sound judgment; flexible, discreet, and able to maintain confidential information, knowledge of correct protocol for specific situations., • Comfort in working in an environment with a flexible schedule that includes working some nights and weekends as necessary., • Working with the Director of Development in coordinating annual giving fundraising for Alumni, President’s Circle, scholarships, and other giving activities.Company DescriptionThe Cypress College Foundation is a leader in community college philanthropy.
