Job Description POSITION SUMMARY The Ministry Coordinator provides essential administrative, communication, and organizational support to the ministries and operations of First Presbyterian Church of Ann Arbor as part of a dynamic and collaborative staff. Serving as a key member of the Administrative Team, this position ensures smooth day-to-day operations through effective coordination, clear communication, and attention to detail. This position serves as a key point of contact for staff, members, guests, and community partners, ensuring that all who engage with the church experience a spirit of welcome, hospitality, efficiency, and care. As a crucial partner with the Executive Administrator, the Ministry Coordinator plays a vital role in helping the church’s ministries flourish by managing information flow, supporting staff and volunteers, and maintaining organized and responsive administrative systems. REPORTS TO ▪ Executive Administrator SUPERVISORY RESPONSIBILITIES ▪ Office Volunteers ESSENTIAL JOB FUNCTIONS Administrative Support ▪ Coordinates general administrative assistance for the Executive Administrator, clergy, and program staff ▪ Establishes priorities and workflow coordination in partnership with the Executive Administrator ▪ Serve as a friendly and professional point of contact for members, visitors, and vendors ▪ Respond to “general office” voicemails and emails, routing information and requests as needed ▪ Prepare correspondence, reports, and documents with accuracy and attention to detail ▪ Assist in maintaining organized electronic and physical filing systems and ensure that information is up to date and accessible o Assist with the migration to an all-digital filing environment ▪ Assist the Session Clerk with maintaining required records and rosters. ▪ Assist with general printing and mailings Technology Support ▪ Create and coordinate electronic forms and signups as needed ▪ Assist with scheduling YouTube livestream feeds for worship services, faith formation classes, weddings, and memorial services ▪ Maintain email addresses and distribution groups in MS Teams/Exchange, Mailchimp, and other databases ▪ Assist with creating automated workflows ▪ Assist staff members with IT needs Office Operations ▪ Maintain office supplies, postage, and equipment; coordinate repairs or service as needed. ▪ Maintain inventory of Equal Exchange coffee Scheduling and Coordination ▪ Assist in maintaining sound and livestream volunteer schedule ▪ Assist the Operations Manager with scheduling events, maintaining the master calendar, coordinating building usage, updating digital signage, and scheduling virtual meetings. Other Responsibilities ▪ Function in accordance with the Personnel Manual ▪ Maintain regular, onsite office hours and ensure availability to staff colleagues and church members ▪ Attend staff meetings and planning activities as assigned ▪ Contribute to team efforts and complete other tasks as needed or directed EDUCATIONAL REQUIREMENTS ▪ Minimum of a bachelor’s degree preferred EXPERIENCE REQUIREMENTS ▪ Experience working in a fast-paced, fluid environment requiring flexibility and initiative ▪ Demonstrated experience providing excellent customer service in a professional setting ▪ Experience working as part of a dynamic staff that requires collaboration and adaptability CORE COMPETENCIES · Represent First Presbyterian Church with authenticity and enthusiasm to a diverse constituency · Support and uphold the mission, values, and ministry of First Presbyterian Church of Ann Arbor · Lead with a heart for welcome and belonging; bring a growth mindset to ministry · Exercise sound judgment in handling confidential and privileged information · Communicate and collaborate effectively with staff and volunteers in a team-based approach to ministry · Maintain intentional, effective, and relevant communication with fellow staff members and volunteers · Organize, prioritize, and complete tasks within established, reasonable timeframes · Recruit, train, and sustain volunteers · Use discretion and maintain confidentiality appropriately and effectively · Manage multiple tasks and interruptions while maintaining focus and accuracy · Demonstrate professionalism, reliability, and grace under pressure TECHNICAL COMPETENCY · Ability to learn, integrate, and utilize a wide range of software systems—including administrative, communication, database, and A/V platforms – to support efficient ministry operations. · Demonstrated proficiency in Microsoft Office (Word, Excel, Outlook, Teams) WORK SCHEDULE, WORK ENVIRONMENT, AND PHYSICAL REQUIREMENTS ▪ This is a full-time, primarily onsite position, typically Monday – Friday during regular office hours. ▪ Occasional evening or weekend hours may be required to support worship services, congregational meetings, weddings, memorial services, or special events. ▪ Schedule flexibility may be required during high-activity seasons such as Advent, Lent, and major church initiatives. ▪ This role is primarily performed in a church office environment, with regular interaction in worship spaces, classrooms, and meeting areas. ▪ The employee must be able to remain in a stationary position for extended periods while working at a desk or computer. ▪ Regular movement around campus is required, including setting up activities and events and attending meetings and events. ▪ Occasional lifting or moving of materials (up to 25 lbs.) may be required for event preparation or ministry area support. ▪ The role requires effective verbal and written communication, both one-on-one and in group settings ▪ Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job.
