About the Role Carbometrics is a growing start-up, and we are looking for an Office Manager to keep the office, people administration and Board cycle running smoothly. Reporting to the COO and working closely with the CEO, Head of Finance and Head of Research Operations, the role owns the company's records and filing system, services the Board, supports the senior management team, and handles confidential personnel information so that operations run efficiently and professionally. Job Requirements Skills & Experience — Essential Significant experience in an office management, executive assistant, HR administration or operational support role. Experience setting up and maintaining structured filing systems and records. Experience supporting senior management, including diary and meeting management. Proven experience managing confidential and sensitive information with professional judgement and discretion. Experience taking formal minutes, with strong written and verbal communication skills, including professional correspondence. Excellent organisational, record-keeping and time-management skills, with the ability to prioritise competing demands, manage several processes at once and meet deadlines. Excellent IT skills, including Microsoft Office and SharePoint, and confidence using AI tools such as Copilot and Claude to work more efficiently. Strong interpersonal and stakeholder-management skills, with the confidence to work with senior colleagues, Board members and external stakeholders. Ability to work independently and take initiative. Skills & Experience — Desirable (candidates are not expected to have experience in all of these areas) Experience servicing a board or supporting investor relations. Experience with Breathe HR or a similar HR system. Experience coordinating recruitment and onboarding. Experience with benefits administration. Knowledge of UK GDPR, employment administration or governance requirements. A relevant administrative, HR or business qualification, such as CIPD Level 3. Roles and Responsibilities Core Own the company's filing system across SharePoint, Breathe and the dataroom, keeping confidential personnel, board and investor records accurate, complete, consistently named and easy to retrieve. Keep the Carbometrics Board cycle on schedule: plan the annual calendar of meetings, set deadlines for papers and chase contributors. Prepare Board agendas, collate papers and presentations, take and circulate minutes, and follow up actions until they are closed. Circulate monthly investor updates and the biannual investor letter, keeping distribution lists current. Administer Breathe, including holiday records, new starters, leavers and employee records. Coordinate recruitment and run onboarding: arrange interviews, issue contracts, collect references and starter forms, and pass payroll details to the Head of Finance. Administer staff benefits, including private medical insurance, gym benefit and professional memberships, and act as the staff contact for them. Keep templates (contracts, offer letters, reference requests, onboarding forms) current and controlled. Additional Provide high-level administrative support to the senior management team, including diaries, appointments and meetings. Manage incoming and outgoing correspondence and respond to general enquiries. Act as the main contact for building management, including office and building shutdowns, access and facilities issues. Coordinate staff communications, events, training records and inductions. Manage office supplies and equipment, including starter and leaver equipment, and collect staff expense claims for the Head of Finance. Write and maintain procedures for recurring processes, and apply data-protection and retention rules to all records. Identify inefficiencies and recommend and implement improvements, including through AI tools. A leading, established and highly successful provider of mechanical and electrical installation services to commercial and industrial buildings seek the solid appointment of an experienced and commercially talented Senior M&E Project Manager from an M&E / Building Services mechanical and electrical installation project management background to join their exciting planned growth and continued success. Candidates sought MUST be based or commutable to the Bristol / Avon area. You will ideally have previous experience working on projects up to £20M+ although we may still give consideration to those under this depending on your experience and projects exposure. We seek a true professional to mainly work on managing the mechanical and electrical installations into new build commercial and industrial units including sheds for warehousing & distribution plus manufacturing. In addition to this, other work could include sensitive manufacturing environments and data centres to name a few. What is paramount is your experience working on commercial and industrial schemes. Candidates highly sought after are those naturally from an M&E / Building Services background, ideally with direct working experience in the project management and delivery of M&E installations and all related building services you would expect to find in commercial and industrial building environments.. You will be competent with a proven track record in managing and delivering schemes of this level. Candidates applying will ideally have experience in dealing with main contractors. Whilst they have their own teams of mechanical and electrical engineers on the ground, you will also organise and work with other specialist sub contract engineers to undertake some elements of these installs. We are looking for an experienced and proactive Mobile M&E Supervisor to oversee the delivery of mechanical and electrical maintenance services across a portfolio of commercial properties. As a Mobile M&E Supervisor, you will combine strong technical knowledge with effective team leadership, ensuring planned preventative maintenance (PPM), reactive repairs and remedial works are completed safely, efficiently and to a high standard. You will supervise engineers and subcontractors, provide technical support, liaise with clients and ensure buildings remain safe, compliant and operational. Key Responsibilities: As our Mobile M&E Supervisor, your responsibilities will include: Lead and inspire a team of 3 technicians, ensuring excellent service delivery across all operations Manage Planned Preventative Maintenance (PPM), ensuring tasks are completed on time and in line with SLA targets Maintain a manageable backlog of PPM tasks and ensure all reactive work is completed within acceptable timescales Liaising with clients, contractors, and internal teams to maintain clear communication and address any concerns or issues Attend client calls and meetings where required ensuring all follow-up actions are completed promptly Provide first-line management by conducting performance reviews, setting clear team objectives, and supporting individual development Carry out risk assessments, site log book and safety audits in compliance with safety legislation and company procedures We're looking for a Mobile M&E Supervisor with a strong background in commercial building services and facilities maintenance.
