Job Description Job Summary We are seeking a dedicated and highly organized Office Manager and Billing Coordinator to join our team. This multifaceted role is essential in ensuring the smooth operation of office functions while overseeing billing processes and financial administration. This is a Temp to Perm position with hours from Monday to Friday 9am to 5pm. Duties • Manage daily office operations, including front desk responsibilities, multi-line phone systems, and calendar management to ensure seamless workflow., • Oversee billing activities by generating invoices, managing accounts receivable using Leap, and ensuring timely collections., • Supervise administrative staff and provide training & development to foster a productive team environment., • Coordinate vendor relationships, negotiate terms, and manage procurement to support office needs efficiently., • Maintain accurate bookkeeping records, perform filing and document management, and support budgeting efforts., • Organize and plan events or meetings as needed to promote team engagement and organizational growth., • Ensure excellent communication with clients, vendors, and internal teams through professional phone etiquette and clear correspondence., • Assist with medical office management tasks when applicable, including scheduling appointments and managing patient records., • Support office projects by developing efficient scheduling systems, tracking deadlines, and optimizing administrative workflows. Requirements • Proven experience in office management, administrative support, or clerical roles within a professional environment., • Supervising experience with demonstrated ability to lead teams effectively., • Proficiency in QuickBooks or similar accounting software for billing and bookkeeping tasks., • Strong organizational skills with the ability to manage schedules, prioritize tasks, and handle multiple responsibilities simultaneously., • Experience in vendor management, budgeting, event planning, and office supply procurement., • Excellent communication skills—both verbal and written—and professional phone etiquette., • Ability to adapt quickly to changing priorities while maintaining attention to detail.
