AllSTEM Connections is seeking a Contract & Vendor Operations Specialist to work hybrid onsite in Plainsboro, NJ. This is a 12-month contract position. Possible extension/temp-to-hire. Hourly rate is up to $75/hour. M-F, 8AM - 5PM. SUMMARY: Our confidential client is seeking a Contract & Vendor Operations Specialist to support U.S. Market operations by overseeing key commercial vendor relationships. Hybrid Work Schedule - onsite 2-3 days a week. This individual will partner closely with key functions in the US Market inclusive of (Marketing, Sales, Business Operations, Market Access) Finance, Procurement, Legal, and Compliance teams to ensure strong vendor relationships and robust contract management. This role is primarily administrative and process-focused, serving as the central coordinator for all U.S. Market contract intake, documentation, and workflow management. The individual will receive contract requests from business stakeholders, gather required information, ask clarifying questions, and ensure submissions are complete and accurate before routing through internal systems. RESPONSIBILITIES: • This role will be responsible for entering new vendors into the appropriate system(s), submitting and tracking Statements of Work (SOWs) and Master Service Agreements (MSAs) in the contract management system, and ensuring documentation progresses efficiently through review and approval workflows., • The position will proactively track timelines, follow up with stakeholders (including Finance, Procurement, and Legal), and ensure contracts move forward without unnecessary delays., • Manage the process for Master Service Agreements (MSAs), Statement of Works (SOWs), and contract amendments, • Serve as one of the primary points of contact for U.S. Market contract intake and workflow coordination, • Collect and validate required contract information from business stakeholders to ensure complete and accurate submissions, • Enter and maintain vendor records in designated internal systems, • Collaborate with Global Procurement and Finance to create and manage Purchase Orders (POs) and ensure alignment with approved budgets, • Support onboarding of new vendors, • Partner with Global Procurement to initiate RFPs and support vendor selection processes, • Collaborate with Accounts Payable (AP) and vendors to resolve invoicing discrepancies and ensure timely, accurate payment processing, • Drive continuous improvement in vendor management processes and reporting, • Manage contract lifecycle activities, including tracking expirations, amendments, renewals, and compliance requirements, • Communicate timelines with key stakeholders to manage the expectation on the administrative process., • Follow up with Legal, Procurement, Finance, and business owners to ensure timely review and approvals, • Track and communicate contract status updates, key milestones, and expected timelines to stakeholders QUALIFICATIONS: • Bachelor’s degree in business, Finance, or related field, • 3–6+ years of experience in contract administration, vendor coordination, procurement operations, or similar administrative roles (pharma/biotech experience preferred but not required), • Demonstrated ability to manage multiple workflows simultaneously and track high volumes of documentation with precision, • Exceptional organizational skills with strong attention to detail, • Clear, proactive communication skills and ability to work cross-functionally to drive timelines, • Experience managing complex vendor contracts, • Strong financial acumen and understanding of sourcing-to-pay processes, • Excellent negotiation, analytical, and problem-solving skills, • Ability to operate effectively in a cross-functional, matrixed environment, • Strong communication and presentation skills, • Proficiency in Microsoft Office (Excel, PowerPoint, Word)
