Job DescriptionSalary: $75,000-$80,000 Finance and Grants Accountant (Full-Time) JACKSON, MISSISSIPPI POSITION OVERVIEW: The Finance and Grants Accountant is a key strategic partner in advancing the mission and sustainability of the Mississippi Black Womens Roundtable (MS BWR). This role is responsible for ensuring the integrity, transparency, and accountability of MS BWRs financial systems and grant operations. Serving as the backbone of the organizations fiscal infrastructure, this Finance and Grants Accountant will manage day-to-day finance and grants management functions, including grant fund management, monitoring and tracking, accounting and financial reporting, payroll, audits, tax filings, compliance, and internal controls. With a sharp eye for detail and a deep commitment to ethical stewardship, the Finance and Grants Accountant will oversee the entire grant management lifecycle, from award and allocation to spend-down, monitoring, reporting, closeout, and support budget development and real-time forecasting. They will be responsible for processing payroll, managing benefits payments and tax filings, and serving as a liaison with external auditors and CPA firm. The Finance and Grants Accountant must be able to thrive in a fast-paced environment, demonstrate initiative, and be comfortable managing multiple priorities and deadlines. This role reports directly to the Deputy Director of Operations and Development. It will work cross-functionally with programming, operations, and development teams to ensure our finances reflect the strength of our movement. Because this work is rooted in community, it may require some after-hours and weekend work. KEY RESPONSIBILITIES: Accounting and Financial Management • Maintain accurate records of all financial transactions in QuickBooks Online, • Receive and record all invoices, bills, and expenses, and record them in the accounts payable schedule., • Verify expense coding and ensure all transactions are approved before entry in QuickBooks., • Prepare check requests for recurring organizational payments, subscriptions, and insurances (General Liability, Director and Officers, Workers Compensation, Special Event), ensuring that proper coding and approvals are secured from leadership for payment., • Maintain and track payment schedules for Workers' Compensation Insurance, Commercial General Liability Insurance, and Directors and Officers (D&O) Insurance., • Maintain organized files of insurance certificates and related correspondence., • Process payments to vendors via check, ACH, or credit card, ensuring timely disbursements based on an accounts payable schedule., • Maintain up-to-date W-9s for all vendors and issue year-end 1099s to vendors in accordance to annual guidelines., • Generate and send invoices to funders, partners, and sponsors., • Track and process incoming payments and bank deposits, ensuring proper coding to the appropriate funding sources and accounts receivable schedule., • Prepare monthly bank reconciliations, general ledger entries, and financial reports., • Reconcile accounts payable and accounts receivable weekly., • Conduct daily reviews of bank account activity and maintain up-to-date cash flow tracking., • Manage credit card reconciliation by matching receipts and coding to budgets., • Provide comprehensive monthly financial reporting, including:, • Statement of Activity/Income Statement, • Statement of Financial Position/Balance Sheet, • Budget to Actual Reports, • Accounts Payable and Receivable Summary, • Credit Card Statement Reconciliation Report, • Bank Reconciliation Reports, • Cash Flow Projections and Forecasting, • Develop and recommend an annual organizational budget as part of the budgeting process., • Participate in board and committee meetings to share financial updates and reports. Grants Management and Monitoring • Maintain a comprehensive tracking system of all active and inactive grants, including funder requirements, deadlines, allowable costs, and reporting schedules., • Enter all new grants into QuickBooks and file award letters in MS BWRs cloud server (Egnyte)., • Develop and implement a grant salary allocation for each employee based on the percentage of time and effort to the grant project., • Track income and expenses, by grant, to ensure accurate fund allocation and timely reporting., • Prepare grant budget to actual financial reports as needed or on a monthly and annual basis., • Participate and engage with funders and grantors in pre- and post-award communications., • Allocate grant funds appropriately based on funder requirements, restrictions, and allowances., • Lead budget development and monthly budget meetings with the programs and operations teams to review spending against grant budgets, provide updates on grant balances, address any variances or financial concerns, and collaboratively plan for upcoming expenditures to ensure alignment with fiscal goals and compliance requirements., • Monitor all grant balances, prepare spend-down plans, and alert leadership of under- or overspending and potential reallocation needs., • Train and support program staff to ensure proper documentation and coding of grant projects., • Assist in preparing budgets, budget narratives, and modifications in collaboration with development and program staff for new grant projects., • Ensure compliance with federal, state, and foundation-specific requirements, including allowable costs and procurement standards., • Create, manage, and maintain electronic and physical files for each grant, including all awards, budgets, contracts, amendments, and financial documentation., • Support the development and submission of budget modifications or grant extension requests, when necessary., • Lead grant closeout processes, ensuring all final reports, reconciliations, and documentation are completed and submitted by deadline. Payroll and Tax Compliance • Accurately process bi-weekly payroll for all employees and interns, ensuring correct compensation based on time sheets, approved leave, grant allocations, and applicable deductions for taxes, benefits, and other withholdings., • Establish and update direct deposit accounts for new hires and employees., • Maintain and update leave accruals and usage by pay period, including personal days, unpaid time off, sick leave, and vacation, and provide timely leave balances to employees upon request., • Process recurring payments for employee benefits, including health, dental, and vision plans., • Maintain a calendar of due dates for benefits premiums and ensure timely payments., • Prepare and file all required federal and state monthly, quarterly, and annual payroll tax payments, including 941, 940, MDES, and Mississippi state tax filings, ensuring full compliance with applicable federal and state regulations by required deadlines., • Track, prepare, and distribute all year-end tax filings, including W-2s, W-3s, and 1099s, in compliance with IRS and state reporting requirements., • Support workers compensation audits by compiling and submitting required documentation and ensuring all records are accurately maintained for ongoing compliance., • Establish and train new hires in QuickBooks Workforce time tracking. Audit and Compliance • Serve as liaison and work directly with the external CPA firm in the preparation and filing of 990s., • Serve as the primary point of contact and collaborate with the auditor in the preparation, coordination, and execution of annual audits (both internal and external), ensuring timely and thorough responses to requests., • Maintain accurate, organized, and up-to-date audit files and supporting documentation throughout the year., • Ensure compliance with GAAP, federal and state regulations, and nonprofit best practices., • Monitor financial policies and procedures for gaps or weaknesses; recommend updates to strengthen internal controls., • Conduct periodic internal audits to assess compliance and mitigate risks., • Ensure policies related to procurement, approvals, and reimbursements are followed consistently. Internal Controls and Organizational Support • Implement financial policies and procedures, along with internal controls, ensuring accountability and consistency, and train employees on these practices to build confidence and excellence across the team., • Prepare and monitor cash flow, forecast general operating and grant funding annually, recommend process improvements, and support internal accountability., • Provide technical assistance to staff and management on budget tracking, expense coding, and grant reporting., • Alert the Deputy Director of Operations and the Executive Director of any discrepancies or irregularities., • Provide regular updates to leadership on grant performance and potential risk areas. QUALIFICATIONS: Education: Bachelors degree in Accounting, Finance, or Business Administration, or Masters degree in Finance or Business Administration. CPA preferred. Required Experience: • Minimum 3-5 years of nonprofit accounting and grants management, and monitoring experience., • Proficiency with grant tracking and monitoring systems and accounting software (QuickBooks Online required)., • Experience in processing payroll and filing employment taxes., • Strong ability to analyze budgets, financial statements, and grant performance data., • Strategic thinker with the ability to connect the dots between compliance, mission, and sustainability., • Trustworthy, ethical, and principled with confidential information., • Great communicator with demystifying numbers and compliance for non-finance staff., • Self-starter who thrives in a fast-paced, evolving environment with minimal supervision., • Ability to handle sensitive and confidential information with professionalism., • Ability to manage multiple responsibilities, meet deadlines, and work independently., • Excellent organizational skills and attention to detail., • Strong interpersonal and written communication skills. COMPENSATION: The annual salary range for this position is $75,000.00 to $80,000.00, based on experience and qualifications.
