Job DescriptionAs the Program Support Specialist, you'll handle essential administrative and program support that ensures timely assistance for applicants and smooth coordination across vendors, partners, and internal teams. What You'll Do • Manage calls and emails; greet and assist housing applicants and interested parties with professionalism and care., • Screen applications for completeness, determine program eligibility, document interactions, and conduct Intake and Assessments (including CDSS applicants)., • Serve as the primary contact for recruiting, retaining, and coordinating with landlords, property management companies, and agents., • Draft memos, internal documents, and presentations; support Board materials and take/distribute meeting minutes., • Maintain accurate tracking for participants, supportive services, vendor payments, CalAIM authorizations and billing, and other program data., • Manage departmental calendars, schedule meetings, track deadlines, and provide general administrative support to the Housing team., • Receive, sort, distribute, and process mail; organize and maintain electronic and physical participant files., • Prepare and submit supportive service requests and vendor payments (e.g., via Microix); distribute payments and maintain supply inventory/purchasing., • Conduct research as requested; prepare monthly CSAF files, CalAIM authorizations, billing submissions and follow-ups (e.g., Health Net, Molina)., • Assist with event/activity coordination and facilitate tracking for department trainings., • Keep the Program Manager informed of activities, pending issues, and potential problems., • Perform other tasks as assigned to support program success.Minimum Qualifications, • High school diploma or equivalent (combination of experience, education, and training may substitute year-for-year)., • At least 2 years of administrative office experience., • Experience supporting accounting and billing., • Must be able to pass a Live Scan background check, • Valid California driver's license (driving is an essential function)., • Clean driving record and eligibility for coverage under organization's auto policy.Knowledge, Skills & Abilities, • Understanding of:, • Indian Self-Determination and Education Assistance Act (PL 93-638), • Title V of the Indian Health Care Improvement Act (PL 94-437), • Affordable Care Act (PL 111-148), • Cultural competence and sensitivity to AI/AN cultures and lifestyles., • Strong written and verbal communication skills with professionalism and empathy., • Ability to maintain strict confidentiality (HIPAA, HITECH, and other privacy requirements) and exercise sound discretion.Monday to Friday | 9am - 5pm ONSITE and field work (mileage reimbursed) Contract covering for leave Pay Details: $23.00 to $28.00 per hour Search managed by: Joanna Calderon Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
