Job Description Purchase Order & Billing Specialist – Logistics We are seeking a proactive, detail-oriented, and highly organized Purchase Order & Billing Specialist to manage the end-to-end customer billing process and oversee incoming purchase orders. This dual role is essential to ensuring accurate invoice, smooth order execution, and effective communication between customers and internal teams in a fast-paced logistics environment. The ideal candidate is resourceful and takes initiative. You will be expected to anticipate issues, follow up independently, and collaborate across departments to prevent delays or errors. This role requires strong analytical and communication skills, along with a high level of accuracy and accountability. Key responsibilities include requesting, reviewing, and verifying customer purchase orders, entering data into internal systems, resolving discrepancies, and ensuring timely and accurate invoicing. You will also be responsible for generating reports and maintaining oversight of storage inventory for assigned accounts. Key Responsibilities Billing Responsibilities · Proactively prepare, review, and issue accurate customer invoices in accordance with contract terms, purchase orders, and company policies. · Ensure timely billing to support healthy cash flow and revenue recognition. · Collaborate with Sales, Operations, and Finance teams to verify billing data and resolve discrepancies. · Maintain billing records and assist with monthly and quarterly close processes. · Provide timely supporting documentation for audits and internal reporting. Customer Purchase Order (PO) Management · Request, receive, review, and process customer POs with a focus on accuracy, completeness, and turnaround time. · Enter PO data into internal systems promptly and accurately. · Verify and proactively follow up on any inconsistencies in quantities, pricing, or shipping details. · Manage the full PO lifecycle, including revisions, updates, and shipment tracking. · Serve as the primary point of contact for customer PO-related inquiries and follow-ups. · Follow up consistently with customers for missing or revised POs. · Ensure all customer PO records are accurate, organized, and up to date. Additional Responsibilities · Generate and deliver weekly and monthly customer reports, proactively flagging issues or trends. · Manage and track storage inventory related to customer orders, ensuring accuracy. · Work cross-functionally to improve billing and order processing workflows. · Provide excellent customer service by addressing customer inquiries timely and ensuring a smooth billing process, while maintaining strong client relationships. Qualifications: • Minimum 5+ years of experience in billing., • Customer purchase order processing or a similar administrative or financial support role., • Proven ability to work independently and proactively in a remote environment., • Strong understanding of customer billing cycles and purchase order workflows., • High attention to detail, accuracy, and follow-through., • Exceptional time management and organizational skills to manage multiple client accounts., • Ability to multitask in a fast-paced, high-volume environment., • Customer service experience with a service-minded attitude, ensuring positive interactions with both customers and colleagues., • Familiarity with logistics or warehouse environments., • Excellent communication and interpersonal skills., • Proficiency in Microsoft Office Suite, especially Excel and Google Sheets., • Experience with ERP or billing systems such as NetSuite, SAP, or QuickBooks., • Ability to work well under pressure, meet tight deadlines, and adapt to changing priorities., • Strong analytical and problem-solving abilities with a proactive mindset. Preferred Qualifications: • Experience with customer portals and EDI systems.
