Job Description POSITION SUMMARY The Human Resources (HR) Administrator plays a crucial role in supporting the organization by managing a variety of HR-related tasks. These responsibilities include maintaining employee records, coordinating the screening and pre-hire process for applicants, processing payroll, handling benefits and leave documentation, ensuring compliance with workplace policies, and assisting with day-to-day HR operations. The position demands strong attention to detail, excellent organizational skills, and the ability to handle confidential information with discretion. ESSENTIAL DUTIES AND RESPONSIBILTIES • Maintain and update employee records, databases, and digital filing systems., • Ensure proper completion and storage of employee records, ensuring compliance with workplace policies and regulations., • Assist with filing and scanning records as necessary, particularly for annual audits and I-9 documentation., • Coordinate training for new hire onboarding with supervisors and managers., • Ensure accurate and timely processing of employee payroll., • Calculate employee wages, including regular pay and overtime., • Address payroll-related inquiries and resolve discrepancies from employees., • Process employee benefits enrollment paperwork and maintain benefits records., • Coordinate and schedule open enrollment meetings with insurance brokers., • Respond to basic benefits-related inquiries from employees., • Ensure compliance with benefits-related documentation and deadlines., • Maintain confidential employee files and assist with resolving employee inquiries or directing them to the appropriate HR personnel and/or leadership team., • Distribute updated handbooks and track receipt acknowledgments from employees., • Support the maintenance and distribution of HR policies and updates., • Track receipt of policy acknowledgments and ensure compliance with workplace procedures., • Prepare and manage HR paperwork related to policies and employee actions., • Ensure the timely completion of background checks and drug screens., • Manage full-cycle onboarding, including scheduling new hire orientation meetings and processing relevant paperwork., • Assist in updating internal records for all employees., • Update, and file job descriptions for various positions within the organization., • Ensure that job descriptions are current., • Assist with I-9 documentation, ensuring proper filing and separation compliance., • Support the yearly I-9 audit process and ensure all documents are in order., • Monitor and maintain labor posting compliance across all company locations, including ensuring that HR and safety boards are up to date., • Process and track employee leave paperwork., • Process initial unemployment claims paperwork and maintain claim files., • Assist with responding to Unemployment Insurance (UI) verification requests., • Process initial workers' compensation claims and maintain injury logs for reporting., • Distribute workplace policy updates and ensure proper acknowledgment from employees., • Perform other duties as assigned that are specific to TDI Refrigeration operations or related company programs. EDUCATION AND/OR EXPERIENCE • High school diploma or equivalent required; college degree preferred., • Previous HR or administrative experience is a plus. OTHER KNOWLEDGE AND ABILITIES • Strong knowledge of HR processes, employee benefits, and labor laws is beneficial., • Excellent organizational skills with attention to detail., • Ability to manage confidential information with discretion., • Proficiency with HR software, Microsoft Office Suite, and general administrative tools., • Strong interpersonal and communication skills.
