Job Description Boys & Girls Clubs of Central Florida is seeking a Development Data Coordinator to join our Development team and support fundraising efforts that make a difference for the youth we serve. In this role, you’ll maintain data integrity in Salesforce NPSP, process contributions, generate donor acknowledgments, support fundraising events, and collaborate with finance to ensure accurate reporting. You’ll play an essential behind-the-scenes role in stewarding donor relationships and strengthening the systems that help us reach our annual fundraising goals. After 90 days of high-performing work, this role transitions to a hybrid schedule (two days remote, three days in-office) with flexible hours within core business times. TITLE: Development Data Coordinator PERFORMANCE PROFILE SOURCE: Individual Contributor DEPARTMENT: Development REPORTS TO: Database Operations Manager FLSA STATUS: Non-Exempt WORKER CATEGORY: Full-Time EMPLOYMENT FUNCTION: Professional POSITION SUMMARY: The Development Data Coordinator supports Boys & Girls Clubs of Central Florida’s fundraising efforts by ensuring the accuracy, integrity, and strategic use of donor and event data. This role maintains CRM (Salesforce NPSP) records, processes contributions, and supports stewardship efforts that strengthen donor engagement and retention. The Data Coordinator collaborates with development staff, finance, and other partners to optimize data management processes, streamline reporting, and help achieve annual fundraising goals for the children and families we serve. This role requires a learning mindset, attention to detail, technical proficiency, and a proactive approach to improving data management systems, donor record-keeping, and event-related data processing. ESSENTIAL JOB RESPONSIBILITIES: Data Management & Integrity • Ensure adherence to data governance standards and best practices to maintain CRM security and compliance., • Create, update, and maintain constituent records in Salesforce NPSP with accuracy and consistency., • Conduct regular audits to identify errors or inconsistencies, flag issues, and communicate findings to the CRM Manager for resolution., • Record and process contributions received via mail, online platforms, fundraising events, and donation portals., • Generate and send timely gift acknowledgments, receipts, and giving statements., • Support stewardship projects, enhancing donor recognition, engagement, and retention efforts., • Assist in reconciling development-related data with finance team records to ensure accuracy between CRM and accounting systems., • Organize and securely store both digital and physical copies of donation-related documentation., • Serve as a key point of contact for external auditors, managing audit preparation and support., • Ensure all financial procedures, practices, and records comply with relevant regulations, laws, and best practices., • Respond to audit requests related to financial and grant activities., • Follows all record-keeping standards for payroll and contracts. Reporting & Segmentation • Conduct donor segmentation, reporting, and data analysis to support fundraising and engagement strategies., • Assist with preparing development reports for internal and external stakeholders., • Take on additional reporting and data-driven projects designed to support professional growth and team effectiveness. QUALIFICATION REQUIREMENTS: (Knowledge, Education, Experience & Skills) Education: • Prior experience with nonprofit fundraising, gift entry, or donor data management preferred., • Familiarity with Salesforce NPSP or other nonprofit CRM platforms helpful (training provided)., • Strong attention to detail, with a passion for data accuracy and process integrity., • Technologically proficient; advanced comfort with CRM systems, Microsoft Office Suite (Excel, Outlook, Word)., • Strong written and verbal communication skills., • Ability to manage multiple projects with confidentiality, organization, and professionalism., • Proven ability to work collaboratively across teams and effectively support system users., • Enthusiasm to grow as a nonprofit professional, while proactively seeking opportunities for efficiency and improvement., • Valid driver's license, good driving record, and consistent access to a vehicle with appropriate insurance coverage., • Commitment to the mission, vision, and values of Boys & Girls Clubs of Central Florida. KEY ROLE COMPETENCIES: Tech Savvy • Leverages CRM tools (Salesforce NPSP) and data platforms to ensure accuracy, reporting, and compliance., • Delivers on commitments to process gifts, maintain records, and produce timely acknowledgments with accuracy., • Documents and refines processes for gift entry, event support, and reporting., • Provides consistent and reliable support to donors through acknowledgment and recognition processes., • Handles multiple types of data, financial transactions, and event details with accuracy and strong organizational judgment., • Navigates nuanced donor information, CRM systems, and reporting requirements with attention to detail. ENVIRONMENTAL AND WORKING CONDITIONS: • Position requires working in an office environment, with frequent use of computer systems (Salesforce NPSP, Excel, and related platforms)., • May require occasional attendance at fundraising events, donor engagements, and related development activities (some evenings/weekends)., • Requires the ability to handle confidential donor and financial information., • Exposure to environments with staff, donors, volunteers, and families, always requiring discretion and professionalism., • Ability to read and interpret documents such as safety rules, operating instructions, and policy manuals., • Required to operate a motor vehicle for site visits and donor events., • Work in environments frequented by children and families, requiring adherence to safety and conduct standards that ensure a child-friendly and family-oriented atmosphere., • This role will have a standard and predictable full-time work schedule. However, all staff must be adaptable to a dynamic work schedule, including evenings to support club activities and events. PHYSICAL AND MENTAL REQUIREMENTS: • Frequently operates a computer and related office equipment for extended periods (8+ hours)., • Requires fine motor skills, repetitive motion, and visual focus associated with data entry and audits., • Ability to lift and carry up to 30 lbs. of event or development materials occasionally., • Mental resilience and attention to detail required for managing complex data sets and deadlines., • Must be able to manage multiple priorities effectively and adapt to shifting organizational needs., • Physically capable of performing office and event activities on-site, including lifting to 30 pounds, standing, sitting, or walking for extended periods, bending, and reaching., • Operates a computer and other office productivity equipment such as a copy machine, phone, printer, and tablet frequently. Requires the ability to work on a computer for extended periods (8+ hours), including performing tasks that involve repetitive motion, visual focus, grasping, and fine motor skills, • Visual and auditory acuity to monitor the environment and ensure safety standards are maintained., • Mental resilience and the ability to stay focused and effective in a busy, sometimes noisy environment., • Capacity to handle multiple tasks simultaneously and prioritize effectively., • Strong interpersonal skills to interact positively with children, family members, and other staff., • Exposure to outdoor weather conditions (occasionally).
