Job Description Practice Manager- Cardiovascular Clinic and OBL Austin Cardiology Clinic, PLLC · Austin, Texas · Full-time, on-site Compensation: $110,000 About Us Austin Cardiology Clinic is an independent, physician-owned cardiology and vascular practice. We run a busy multilocation, multiprovider office-based lab (OBL) for peripheral arterial and venous interventions, perform all vascular ultrasound in-house, and are expanding into a multi-specialty model with podiatry, wound care, and interventional services. We are physician-led, academically connected, and we move fast. Because we are independent, the person in this seat has real authority and sees the direct result of their work. The Role We are looking for an A-player operator to take ownership of our OBL and clinic operations, optimize how we work, and keep it running at a high level. You will be the person who knows, on any given day, whether the lab is scheduled efficiently, whether every case is authorized, whether every claim went out clean, and whether we got paid what we earned. This is not a seat-filler role. We want someone who walks in, diagnoses what is broken, fixes it, builds the systems so it stays fixed, and then raises the bar again. The role spans both sides of the practice: the OBL and our outpatient cardiology clinic, including office visits, in-house noninvasive testing and vascular ultrasound, and the referral and scheduling engine that feeds both. You will report directly to the physician owner and work closely with our referral coordinator, front desk, billing, and clinical teams. What You Will Own OBL operations and workflow • Pre-procedure workflow end to end: orders, labs, imaging, consents, and patient readiness so no case is cancelled day-of for a preventable reason, • Device, supply, and inventory management: par levels, consignment vs. owned stock, vendor pricing negotiations, expiration control, and UDI/lot tracking, • Equipment uptime: service contracts, preventive maintenance, and vendor escalation for imaging and lab equipment, • Regulatory readiness: OSHA, radiation safety, fire/life safety, infection control, and Texas licensure and facility requirements Cardiology clinic operations • Provider schedules and clinic templates across physicians and APPs: new-patient access, follow-ups, urgent add-ons, and no-show and cancellation management, • Patient flow from check-in through rooming, visit, and checkout, with next appointments and testing scheduled before the patient leaves, • In-house diagnostic testing (echocardiography, vascular ultrasound, ECG, ambulatory monitoring): scheduling, technologist coverage, interpretation turnaround, and correct technical/professional billing, • Referral management: intake from referring physicians and employer clinics, referral-to-appointment conversion, and timely communication back to referring providers, • The clinic-to-OBL pathway: workup, testing, and authorization completed so patients who need a procedure reach the lab without delay, • Front desk, medical assistant, and clinic support staffing, training, and performance, • Clinic revenue cycle: E/M coding accuracy, modifier use, eligibility verification, and copay and balance collection at time of service Revenue cycle and billing • Accountability for the full revenue cycle, whether billing is in-house or with an outside partner: eligibility, prior authorization, charge capture, coding accuracy, claim submission, denials, appeals, and A/R follow-up, • Fluency in peripheral vascular coding (CPT 37220–37235, venous ablation and related codes), modifiers, moderate sedation, and OBL (POS 11) billing rules under Medicare and commercial payers, • Payer enrollment and credentialing for providers, including PECOS revalidations and CAQH maintenance, with a tracking system so nothing lapses, • Monthly reporting on collections, denials, A/R aging, and payer mix, with root-cause analysis and corrective action Practice management and leadership • Staffing, hiring, training, scheduling, and performance management for front office and support staff, • Build and maintain written SOPs, checklists, and dashboards in athenaOne and supporting tools, • Monthly P&L review of both the OBL and the clinic with the physician owner: OBL cost per case and contribution margin, clinic visit volume and provider productivity, and growth opportunities, • Support for practice growth: new service lines, new providers, referral-source onboarding, and expansion projects, • Patient experience: phone access, wait times, complaint resolution, and online reputation What Success Looks Like First 30 days: Learn the lab, the clinic, the team, and the numbers. Deliver a written assessment of the OBL, the cardiology clinic, and the revenue cycle with baseline metrics and your top 10 priorities. Clinic baselines must include: third-next-available new-patient appointment; no-show and same-day cancellation rate; visits per provider per session; patient cycle time from check-in to checkout; referral-to-scheduled conversion rate and days from referral to first visit; diagnostic testing turnaround from order to interpreted result; point-of-service collections; patient balances collections, and E/M level distribution by provider. First 90 days: Fix the highest-impact problems. Have a weekly operations dashboard running (lab utilization, clinic new-patient access and no-show rate, auth status, clean claim rate, denials, A/R aging, supply cost per case). Documented SOPs for scheduling, prior auth, and charge capture. First year: Measurable improvement in collections, denial rate, and A/R days; supply cost per case reduced through vendor negotiation and inventory discipline; lab utilization and clinic access up; a team that runs on systems, not heroics. Required Qualifications • 5+ years of medical practice management experience in a multi-provider outpatient practice (cardiology preferred), including at least 3 years managing an OBL, ASC, cath lab, IR suite, or vascular/cardiology procedural practice, • Deep, hands-on revenue cycle knowledge: you can read an EOB, work a denial, and explain why a claim was underpaid, • Working knowledge of CPT/ICD-10 coding for procedural specialties and Medicare billing rules, • Proven track record of improving measurable outcomes (collections, denial rate, A/R days, throughput, cost); be prepared to show us the numbers, • Experience hiring, training, and leading a team, • Strong command of Excel/Google Sheets and comfort building reports from EHR/PM data, • Exceptional organization, follow-through, and written communication Preferred Qualifications • Bachelor's degree in healthcare administration, business, or related field; MHA/MBA a plus, • RN, NP, or other clinical provider looking to expand into a management role., • Certification such as CMPE (MGMA), CPC/CCS-P (AAPC/AHIMA), or CRCR (HFMA), • athenaOne experience, • Experience with peripheral vascular interventions, venous ablation, wound care, or podiatry service lines, • Experience with device vendor contracting, consignment programs, and GPO pricing, • Experience in an independent or physician-owned practice Who You Are You are an operator who is energized by fixing things and making them run better. You measure everything, you hold yourself and others accountable, and you communicate problems early with a proposed solution. You are comfortable with authority and with being the person who says no to vendors, payers, and bad habits. You understand that in an OBL, operational excellence and compliance are the same thing: every case medically necessary, documented, authorized, and billed correctly. Compensation and Benefits • Base salary: $110,000, • Health insurance: health benefits, eligible after 90 days, • 401(k): eligible after 1 year, • PTO: 152 hours per year (vacation, sick, and holidays), with additional time at years 3 and 5
