Job Description Job Summary:The Mailroom Operations Associate is responsible for overseeing and executing high-volume mailroom, shipping, and receiving activities in an automated environment. This role involves operating advanced mail equipment, managing distribution and tracking systems, ensuring accurate processing of mail and packages, and supporting cost-effective, secure, and efficient mail operations while meeting client and service-level requirements. Key Responsibilities: • Operate high-speed, high-volume mail equipment including inserters, sorters, finishing equipment, postage meters, and envelope printers, • Perform packaging, posting, labeling, mail merge, folding, insertion, and fulfillment activities, • Receive, sort, log, distribute, and deliver incoming and outgoing mail, packages, and supplies, • Manage charge-back reporting for postage, air express, local delivery, and fax services, • Coordinate automated and manual finishing and mailing processes, • Maintain and update mailing addresses using customized software and mail cleansing tools, • Conduct barcode address quality reviews and validation of internal mail addresses, • Track, trace, and resolve mail issues with USPS, FedEx, and local delivery providers, • Perform electronic mail distribution including scanning, fax processing, and digital routing, • Prepare shipments, complete shipping forms, and manage pickups and deliveries, • Maintain distribution, tracking, and inventory systems for mailroom supplies, • Ensure mailroom security procedures are followed at all times, • Operate, clean, maintain, and arrange service for mail and shipping equipment, • Recommend workflow improvements to optimize efficiency and reduce costs, • Act as focal point for special or unique mailings and shipments, • Train and mentor other mailroom associates as required, • Support shipping and receiving using automated tracking systems, • 1–2 years of experience operating mailroom equipment and performing mailroom procedures, • Ability to lift and move up to 50 pounds, • Strong multitasking and time-management abilities in a high-volume environment, • Proficiency in production mail software and mailing job scheduling, • Intermediate PC and internet skills, including downloading/installing files and performing mail merges, • Intermediate knowledge of Microsoft Word (tables, forms, headers/footers, sections), • Intermediate knowledge of Microsoft Excel (formulas, charts, multiple worksheets), • Working knowledge of Microsoft PowerPoint, • Working knowledge of Adobe Acrobat and document/file conversion tools, • Basic understanding of network printers and digital front-end systems, • Functional knowledge of MAC systems when required, • Experience with Pitney Bowes Mail Management systems and FedEx shipping systems, • Strong customer service and communication skills, • Ability to perform data entry accurately and efficiently, • Ability to estimate, schedule, and manage mailing jobs including resources and timelines Education: High School Company DescriptionCompunnel Inc., established in 1994; is a leading provider of Staffing, IT/Software, e-Learning/Training, Business Intelligence, and Cloud Solutions.
