Job Description REPORTS TO: CED Administrative Manager DEPARTMENT / JOB: CED JOB SUMMARY: The Administrative Assistant will be responsible for providing general and administrative support to all CED department managers. TYPICAL DUTIES: • Answer, screen and transfer phone calls per supervisor’s instructions; handle routine items, pass others on to appropriate individual., • Greet customer and vendors direct as needed., • Maintain Meeting calendars; schedule, coordinate and confirm meeting dates, etc. Arrange meals/drinks when appropriate. Maintain general kitchen supplies., • Responsible for preparing, shipping and distributing department’s daily outgoing and incoming mail and package shipments., • Distribute and/or handle items not requiring division or department managers’ attention., • Coordinate with field site construction personnel as needed for license registrations, insurance cards, wireless issues, etc., • Assist in processing POs from customers and issuing invoices., • Calling for payment on past due invoices, or work in client portals., • Accepting payment from customers, • Manage and perform all license registrations, including renewing and setting up state inspections as required., • Perform state title transfers including all transfer documents, POAs etc., as needed., • Responsible verifying and uploading the document after receipt, resetting the task, and sending out registration to all asset assigned vehicle drivers to their proper locations., • Administer and manage all asset telematic devices and CED telematic account., • Update devices, troubleshoot and review billing., • Order new devices as needed and review for any defective devices on the blackout reports., • Provide telematic reporting for meetings., • Provide telematic trending alert reports for review., • Review telematics for any major concerns in devices or driving behavior scores., • Occasional business writing., • Occasional trips to pick up Supplies., • Reconcile multiple databases., • Manage JIRA account tickets., • Maintain all office machines with supplies., • Maintain all forms and publications and request renewals as needed., • Assist with Wireless activations, swaps, deactivations., • Assist with uploading documents in Fleet software, • Assist with other duties as assigned. REQUIRED QUALIFICATIONS: • High school diploma or equivalent, • Associate’s degree in business preferred., • A minimum of three years of administrative experience., • Advanced knowledge of Microsoft Office Suite; Excel, PowerPoint, Visio, Word, • Knowledge of Adobe Acrobat Professional Software a plus, • Knowledge of general bookkeeping. REQUIRED KNOWLEDGE, SKILLS, AND COMPETENCIES: • Excellent verbal and communication skills., • Strong organizational skills with the ability to prioritize assignments, handle multiple simultaneous projects, modify schedules, and alter the sequence of steps as necessary to meet required deadlines., • Keyboarding skills with a high degree of accuracy., • Ability to objectively interpret and analyze data., • Possess business writing, grammar and proofreading skills., • Ability to make sound recommendations based on analysis of data with careful attention to detail., • Ability to maintain confidentiality of all data., • High level of mental/visual effort required in order to assure accuracy of information entered into the computer systems., • Ability to function in a fast-paced environment., • Evidence of strong customer focus. WORKING ENVIRONMENT: • Work is performed primarily indoors. PHYSICAL DEMANDS: • Manual dexterity and sitting for extended periods of time., • Perform repetitive activities to include typing, answering telephone and operating computer., • Frequent standing and walking., • Occasional climbing stairs, bending, stooping, kneeling, reaching, and crouching., • Position may require driving a company-supplied golf cart, as needed., • Visual acuity to read printed and electronic documents., • Lifting and / or exerting of force up to 30 pounds occasionally and 10 pounds of lifting force frequently.
