Position Summary: The Administrative Assistant will support the logistical and administrative needs of the Food Programs warehouse in Canarsie, Brooklyn. This role is based at our Brooklyn warehouse. This role is a great opportunity for someone who likes to make systems run effectively and collaborate with others for smooth warehouse and office operations. They will act as the primary receptionist for the warehouse, responsible for welcoming visitors, fielding inquiries, and answering and directing phone calls. The role supports facilities, operations, and program logistics, including supply management, visitor scheduling, and occasional event support. Principal Responsibilities: Perform office management tasks, such as scheduling vendors, repairs, and inspections, as well as ensuring team members have the supplies and information they need to accomplish their duties. Track and replenish office supplies, snacks, coffee station, and other inventory. Manage Receive incoming phone calls, forwarding them as appropriate and providing basic information when needed. Document processes related to administrative duties at the warehouse. Welcome and direct visitors, notifying the appropriate employee contact of arrivals. Participate in internal and external meetings as assigned. Receive, sort, and distribute mail, packages, and deliveries; process outgoing mail. Position Summary We're looking for a detail-driven Insurance Coordinator to own the eligibility and authorization side of our ABA services. In this role, you make sure every client has active insurance coverage and valid authorization in place before and throughout their care --- verifying benefits, securing initial authorizations, and staying ahead of re-authorization deadlines so that no child's services lapse. You'll be the connective tissue between payers, our clinical team, and families, translating insurance requirements into clear next steps and keeping our authorization pipeline accurate and current. This is a role for someone who is organized, persistent, and detail oriented --- someone who takes real ownership of deadlines and follows through until each authorization is confirmed. Position is full-time and compensation is based on experience ranging between $25-30/hr. Key Responsibilities Eligibility & Benefits Verification • Confirm that referrals, diagnoses, and required documentation meet each payer's criteria for ABA services., • Confirm new coverage whenever a client's coverage changes. Authorization & Re-authorization Management • Prepare and submit initial authorization requests for ABA assessments and treatment, ensuring each packet is complete and payer-compliant., • Track every active authorization --- units approved, units used, and expiration dates --- and initiate re-authorizations well ahead of deadlines to prevent any lapse in services., • Coordinate with BCBAs and the clinical team to gather assessments, treatment plans, progress reports, and supporting documentation required for authorization and continued-care requests., • Monitor authorization status through submission, follow-up, and approval, escalating delays and resolving payer requests for additional information. Payer & Internal Coordination • Serve as the primary point of contact with our insurance team, • Keep clinical, intake, and billing teams informed of authorization status, upcoming expirations, and any coverage issues that could affect a client's schedule., • Communicate coverage and authorization details clearly to families when needed, in plain, supportive language. Records & Compliance • Maintain accurate, up-to-date authorization records in our systems (client management platform and payer portals), ensuring dates, units, and documentation are always current., • Track key dates and maintain a reliable tickler/reminder system so re-authorizations are never missed., • Handle all client and health information in accordance with HIPAA and organizational privacy standards. Completes Medication Error Report when needed., • Ensures home, grounds, yard and van are maintained in clean, safe, and sanitary condition., • Ensures meals are prepared and planned based on clients’ individual diet, client input, and the planned menu for the month., • Ensures that the Recreation Calendar is carried out as per client input and as per the planned calendar completed each month., • Responsible for competing all required documentation to include but not limited to, daily logs, communication logs, and behavior reports., • Ensures line of sight for the individual(s) being supported is maintained and completes reports accordingly., • Responsible for adequately and completely cleaning the home during any shift worked., • Ensures that a client’s dignity is not compromised in any way., • Responsible for reporting all emergencies or unusual incidents to direct supervisor., • Cooperates with the licensee and Department staff in any inspection, inquiry or investigation.
