Job Description: GardaWorld Security Services is Now Hiring a Administrative Assistant! (Including completing “officer inspections” weekly for all dispatchers., • Includes; supervising the three dispatchers (two-40-hour dispatchers, one-32-hour dispatcher)., • Includes; directing, mentoring and training the dispatchers in dispatching best practices., • Finding best practices within the dispatch department; adding universal radio language based on BOEC, radio phonetics and using limited 10-codes to make transmissions concise., • Assisting in training Public Safety Coordinators on radio usage, 10-codes, proper terminology for radio use., • Administration Duties:, • Payroll:, • Control payroll systems (WinTeam) within the Clean & Safe Contracts., • Includes; monitoring, correcting, payroll issues within the WinTeam system., • Includes; tracking all Public Safety Coordinators, supervisors and dispatchers (all staff) payroll and making corrections as needed., • Monitoring all staff sick calls, late arrivals, early departures or other time related issues. Using the attendance tracker to track call-offs/late arrivals. Notifying the Account Manager when someone is outside of the attendance policy., • Verifying WinTeam discrepancies with timesheets to verify corrections needed within WinTeam. Eponic: • Monitor Eponic Systems; including geolocate and other dispatch related Eponic information – including reading/approving reports., • Uniforms:, • Monitoring uniform issuance and inventory;, • Update uniform inventory binder., • Monitoring duty gear inventory., • Create a tracker for all gear;, • Radio Holders, • OC Spray Holders, • Glove Holders., • Duty belts (outer and Velcro inner), • Body Cam magnetic holders., • Radio Holders, • Monitoring ballistic vests inventory., • Create a tracker for vests., • Notifying Account Manager when inventory is low so it can be ordered., • Inventory:, • Inventory phones/radios., • Keep the phone and radio inventory trackers up to date., • Inventory (daily) the body cams – verify all are accounted for., • Inventory Taser7 batteries – verify all are accounted for., • Meetings:, • SAR Meeting, • OPL Meeting, • Compliance Meeting (Wednesdays 1430 hours). Employee Related: • Keep the Clean & Safe/OCC/Hotels/P5 seniority list up to date., • Provide employees with their current sick/PTO/vacation time balances when requested., • Other:, • Keep office areas/dispatch and uniform/equipment room organized., • Assist Account Manager with creating spreadsheets, charts, information gathering, other items as needed for the Clean & Safe Account and/or Clients., • DPSST unarmed and supervisory/manager certifications – Not required at time of interview., • MVR – ability to drive., • Heavy focus on office related duties, Payroll (WinTeam or related payroll experience), spreadsheets, staffing/scheduling., • Working knowledge of office equipment, like printers and fax machines, • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular), • Excellent time management skills and the ability to prioritize work, • Attention to detail and problem solving skills, • Excellent written and verbal communication skills, • Strong organizational skills with the ability to multi-task, • Write and distribute email, correspondence memos, letters, faxes and forms., • Assist in the preparation of regularly scheduled reports., • Update and maintain office policies and procedures as directed.
