Job DescriptionDescription: Key Recovery provides comprehensive substance use disorder treatment and work skills training to help low-income, high-risk patients achieve sustained recovery and rebuild their lives. The Administrative Coordinator will provide management and supervision of the front office and reception area. Answers the phone and handles the front desk reception activities to reflect professionalism, caring and empathy for guests, patients, and staff. Answering basic questions for admissions and patient services. Assisting clinical staff with copier jobs and ensuring the copier room and fax machine are checked hourly and information distributed throughout the day. Primary Responsibilities: • Responsible for coverage of the front office and reception area. Provide assistance for administrative services to support the day-to-day functions of the front office such as postage and mail services, office equipment maintenance, copy room maintenance and office supply management, updates and manages Key Recovery general forms and ensures availability., • Coordinates office services with Facilities Manager and IT vendor services, ensuring that the ticket system is moving forward and recommends prioritizing services when needed., • Provides administrative support for company-wide staff events – holiday parties, employee appreciation and other activities., • Collaborates with Facilities Team and Safety Committee to ensure monthly fire drills are conducted, evaluated, and documented., • Assists with facility tours with new employees and visitors., • Ability to interact with patients every day, to provide them basic information and assistance as needed., • Order supplies for facility and employees., • Maintain confidentiality and privacy procedures. Knowledge, Skills, and Abilities: • Knowledge of community resources and demonstrate ability to work cooperatively and responsively with them., • Ability to advocate for inclusion, equity and belonging for all patients and staff., • Ability to plan, prioritize and organize your own workload and work independently., • Ability to communicate effectively both in writing and orally., • Establish and maintain effective work relationships and maintain strong boundaries with patients., • Must be able to maintain confidentiality., • Proficient at Microsoft Office Tools., • Ability to communicate effectively at all levels of the organization., • Ability to define problems, collect data, establish facts, and draw valid conclusions., • Ability to comprehend complex instructions, detailed correspondence, and memos. Ability to read and interpret documents., • Ability to effectively present information in one-on-one and small groups both within the organization and externally., • Develop and maintain professional relationships with referents such as doctors, clinicians, facilities, and families. Assist outreach efforts as designed/requested by leadership., • Documentation of all inquiries and admissions activities to assist with monthly marketing report. Education/Experience Requirements: • Associate’s degree and/or equivalent education and work experience., • 3-5 years progressively, higher level administrative residential/behavioral health experience. Background/License/Certification: • Must be able to successfully pass a thorough Background Check and ability to successfully pass a post-offer, pre-employment drug and TB test. Must be First Aid/CPR/AED certified or be able to become certified within 30 days of hire.
