Executive Assistant Position Overview: We are seeking a highly organized, tech-savvy, and trustworthy Executive Assistant to support the agency’s executive leadership team. This role will provide direct administrative support, assist with project coordination, and help drive execution across the organization. The ideal candidate will be proactive, adaptable, and comfortable handling sensitive information while working closely with leadership and team members at all levels. This position is primarily based in-office with occasional travel to branch locations or external meetings. Key Responsibilities: Administrative Support • Manage calendars, scheduling, and meeting logistics for executive leadership, • Draft, edit, and prepare correspondence, reports, and presentations as needed, • Take meeting notes, track action items, and ensure timely follow-up, • Support leadership on integration, workflow, and operational initiatives, • Track timelines, milestones, and deliverables across projects, • Pull reports, gather data, and assist with budget/financial visibility, • Coordinate with team leads and department heads to ensure accountability, • Assist with internal communications and morale initiatives, • Help organize agency events, meetings, and team engagement efforts, • Serve as a flexible resource to multiple executives, with varying levels of involvement, • Occasionally assist in preparing materials for partner/ownership-level meetings, • Exercise discretion and judgment in handling confidential information and sensitive situations, • High School Diploma required; Associate or Bachelor’s Degree a plus, • Prior experience in administrative support, operations, or project coordination required, • Insurance or agency experience a plus but not required, • Proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint) and comfort with learning new systems, • Excellent written and verbal communication skills, with the ability to draft professional correspondence when needed, • Strong interpersonal skills; comfortable interacting with leadership, staff, and external partners, • Strong organizational and time management skills; ability to prioritize and juggle multiple tasks, • Demonstrated initiative, problem-solving skills, and ability to work independently with limited handholding Office Location: 1140 NW 50th Street, Oklahoma City, OK 73118 Benefits: • Competitive Salary, • Health Insurance Plans (PPO, HSA, Copay Options), • Dental Insurance, • Vision Insurance, • Company Paid Disability Insurance, • Supplemental Insurance including Critical Illness, Accident, Legal, Pet Insurance, • 401(k) with Safe Harbor Match, • Paid Time Off
