Your Role: The Senior Manager, Marketing Operations, is a crucial role within the commercial team and will be responsible for leading, managing, measuring, and driving continuous improvement of National POAs, print and fulfillment operations, budget management, and centralization of resources and for the Rare Tumor Commercial Team. This individual will support three separate brands teams making up two therapeutic areas to support the commercial success of the business unit. This role will involve a high level of cross-functional collaboration, strategic thinking and creative problem solving, and project management skills. It requires the selected individual to become a champion for evolving processes and operations to be more efficient and effective for internal and external stakeholders. Cross-functional partnership will include but is not limited to marketing, sales, market access, compliance, medical, legal, regulatory, and professional organizations. This position reports to the Lead, U.S. Rare Tumors Marketing Operations and will work in close partnership with the broader U.S. Rare Tumors Commercial Team. Location Classification – Hybrid: This role will be required to work onsite 2 days a week (Tuesday and Wednesday) or more depending on business needs. #LI-Hybrid Essential Duties and Responsibilities: • BU Lead for National POA Meetings (2/year), • Develop and align the national POA strategy with brand objectives, launch milestones, field needs, and annual priorities., • Partner with key cross‑functional teams (Brand, Sales, Medical, Training, Operations) to define goals, themes, and key messages., • Build the annual POA calendar and lead end‑to‑end agenda development across general sessions, clinical updates, workshops, and breakouts., • Ensure clear, consistent, compliant content; manage MLR review., • Develop executive presentations, keynotes, and storytelling for leadership., • Serve as the central coordinator across internal teams and external agencies., • Lead POA workstreams, track decisions, and drive milestone accountability., • Oversee all logistics, including venue sourcing, production/AV, run‑of‑show, breakouts, staging, travel, and onsite execution., • Manage production elements such as scripting, rehearsals, and technical integration for polished delivery., • Oversee budget, contracts, SOWs, agency RFPs, and vendor performance., • Ensure full compliance with PhRMA, OIG, and internal policies., • Manage risk mitigation and onsite readiness., • Collect field feedback and deliver insights‑driven recommendations and leadership summary reports., • Create a multi‑cycle improvement roadmap to enhance POA effectiveness year over year., • Print & Fulfillment Operations, • Own the end‑to‑end print and fulfillment model and continuously streamline processes., • Maintain SOPs, SLAs, QA standards, and compliance guardrails (versioning, expiration, ISI, destruction)., • Ensure MLR alignment so only approved materials are produced and distributed., • Manage centralized intake for print jobs, reprints, kitting, and event shipments., • Build production timelines and capacity plans tied to launches, congresses, and field demand., • Coordinate with cross‑functional partners and vendors to prioritize needs and reduce rush work., • Lead RFPs and manage print vendors, 3PLs, and kitting partners; track KPIs and performance., • Oversee pre‑press, press checks, and finishing to ensure quality and brand consistency., • Optimize print specs for cost, quality, and speed., • Maintain strict version control and execute recalls/destruction of outdated materials., • Manage inventory strategy (par levels, reorder points, obsolescence)., • Maintain and improve the ordering portal, ensuring accurate inventory and a user‑friendly experience., • Set ordering rules, approvals, and shipping restrictions., • Provide usage analytics and insights to guide future material planning., • Manage budget, POs/SOWs, forecasting, and cost optimization., • Budget Management, • Oversee end‑to‑end processing of Statements of Work (SOWs), amendments, and purchase orders (POs) for the Marketing team., • Manage 200+ POs, including month‑end vendor reporting, actuals receiving, and maintaining the BU open‑PO report., • Partner with Finance on budget management, accrual tracking, and overall Commercial Spend oversight., • Manage all BU invoices to ensure timely payment; serve as primary contact for Accounts Payable to resolve invoice issues., • Lead the transition of SOW/PO processes and systems from legacy to new across cross‑functional teams., • Serve as subject matter expert for contracting processes within US Rare Tumors Marketing; train employees on SOPs/systems and recommend improvements to enhance operational efficiency., • Onboarding and Offboarding; Centralization of Resources, • Develop and manage the end‑to‑end onboarding and offboarding process for employees, including establishing communication workflows to ensure timely system access and removal across both organizations., • Lead transitions from legacy onboarding to updated processes and standards., • Document all onboarding/offboarding procedures and create role‑specific checklists for employees and managers., • Maintain Sales and Marketing organizational information (org charts, rosters, headshots, distribution lists) critical to onboarding and daily operations., • Create and maintain an internal intranet site to centralize key business unit resources (POA materials, team information, SOPs/policies, onboarding tools, field communications, congress plans, annual priorities, links, and culture‑team content). Ensure accuracy, usability, and ongoing updates., • Manage, archive, and ensure compliance of all field communications., • Implement best practices for content management, including version control and adherence to organizational standards., • Communicate the availability and value of intranet resources to the US Rare Tumors Business Unit., • Other, • Contribute to the overall success of marketing operations through efficient planning and execution, and evolution and innovation., • Ad hoc projects and tasks as assigned., • Education: Bachelor's degree, • Minimum 5 years of pharmaceutical/biotech experience, including at least 2 years in Marketing Operations and/or project management, • Strong knowledge of pharmaceutical and promotional regulations; experience in high‑risk contracting environments, • Proven project and vendor management skills, including budgeting, prioritization, logistics, and performance oversight, • Ability to lead national POA planning (preferred), with experience in sourcing, procurement, or meeting management, • Strong interpersonal, negotiation, communication, and presentation skills, • Ability to influence without authority and collaborate across cross‑functional teams, • Demonstrated ability to manage multiple projects and operate effectively in a fast‑paced, high‑expectation environment, • Operates with urgency, efficiency, flexibility, and attention to detail in a rapidly changing environment, • Experience in oncology and/or rare diseases and product launches (preferred), • Excellent communications skills with an ability to efficiently and productively communicate both orally and in writing; track record of effective and influential presentations to external and internal stakeholders, • Proven ability to lead and collaborate with cross-functional teams, • Embody the organization's values to act with empathy and humility to drive a culture that takes ownership and accountability for their individual and teams' performance., • Strong interpersonal communication skills to collaborate with colleagues, stakeholders, and vendors effectively and clearly in a remote hybrid work environment., • Ability to travel occasionally 50% travel required; including overnight stay driven by business need.
