Job DescriptionDescription: Working under the supervision of the Director of Children’s Services, the Case Manager Supervisor will perform administrative functions related to case management to include supervising the team members, coordinating meetings and ensuring effective communication across all members of the assigned team. The Case Manager Supervisor is responsible for all areas of operations regarding the assigned caseloads and will report routinely to the Director of Children’s Services with regard to operational standards and plans for improvement, if areas of deficiency are identified. Specific duties include: • Performing all managerial related responsibilities of assigned team to include:, • Reviewing and approving timesheets, reasons for overtime, and leave requests;, • Organizing and planning team meetings to review operational findings and assigning specific tasks, overseeing monthly Case Manager meetings, conducting weekly meeting with Lead Case Managers;, • Completing case file audits of direct and/or indirect employees’ work product to include feedback and training as needed on completeness and quality of work (e.g., Monthly Summaries, Client Goal Documentation, Safety Plans, Treatment Plans, assessments in MillarRich Children’s Services (MCS) online database);, • Conducting training exercises to ensure consistency in performance of team members;, • Ensuring that any changes in key stakeholder requirements, agency policies and procedures, and/or agency/department expectations are effectively disseminated;, • Administering performance related responsibilities (e.g., oral and written feedback as needed, annual performance evaluations, and performance improvement plans);, • Identifying and problem-solving any work flow and communication issues that might arise from performance drift, changing expectations, shifts in job responsibilities;, • Supporting team members by remaining on-call for any assistance needed;, • Conducting interviews for direct employee positions and participating in interviews as needed for other department positions;, • Assigning and rearranging caseloads as needed;, • Providing guidance and support to direct and/or indirect reports to address any contractor compliance issues including, but not limited to, informal and formal feedback, and the implementation of Contract Compliance Notices or, with the support of the Director of Children’s Services, Contract Termination Notices;, • Working in conjunction with the Intake and Transition Coordinator serving as a primary contact for children’s services referral related communication to include communication with child referrals or children already supported, family members, Family Service Workers (FSWs), placement workers, community members, state respresentatives and other departments, as applicable, that inquire about the services provided by MillarRich. Coordinating informational opportunities for the inquiring parties to include:, • Answering phone calls/emails on initial inquiries;, • Distributing marketing material/informational material;, • Coordinating initial meetings with interested parties and presenting information related to services, policies and operations;, • Coordinating program visits to currently operating homes (as applicable);, • Maintaining contact with interested parties while placement options are being evaluated;, • Working in conjunction with the Intake and Transition Coordinator to assess children and their families to determine if MillarRich has the resources available to serve the child and their family;, • Monitoring and providing necessary support for all external and internal transitions by ensuring responsibilities of direct employees are completed, assisting with any requests from the Intake and Transition Coordinator, ensuring pass-offs are completed with all items addressed;, • Ensuring all assigned Quality Assurance (QA) audits are completed by direct employees, assisting as needed with completing items and follow-up for the other department audits, and identifying and/or completing any additional audits that may be required or assigned by the Director of Children’s Services;, • Quality assuring case files in the MCS online database system by conducting ongoing monthly and quarterly reviews;, • Attending Initiation of Services (IOS) meetings, MCS department meetings, Incident Management meetings, Individualized Education Plan (IEP) meetings, Child & Family Team Meetings (CFTMs), Foster Care Review Boards (FCRBs), Court Hearings, etc., as needed;, • Assisting with supervising visitation between children and parents, as needed;, • Completing routine home visits with or without assigned Case Managers when the need or opportunity arises to ensure that: (a) all departments are in compliance with regulations, (b) individual and agency-wide quality outcomes are being met, (c) coaching is addressing the targeted areas, (d) emergent needs are being addressed, and (c) feedback from the individuals and their teams is being sought and addressed;, • Developing and maintaining strong relationships with all relevant stakeholders (e.g., Individuals, Foster Parents, Family Service Workers (FSWs), Therapists, Teachers, State personnel, etc.) to promote effective communication, effective identification of solutions as problems arise, and high satisfaction;, • Maintaining compliance with all relevant licensing standards and regulations for the program by providing guidance and training as necessary and participating in audits by representatives of licensing entities as assigned (e.g., DCS, Department of Disability and Aging (DDA), etc.);, • Supporting all other related departments (e.g., billing, finance, nursing, etc.) by facilitating effective work flow and communication, ensuring completion of any follow-up needed and assisting with solving any barriers or issues;, • Identifying department goals that align with the short term and long term goals of the agency (e.g., 1-, 3-, 5-year goals), assessing the department goals on an ongoing basis to ensure these are aligned with the agency goals, and identifying any changes that need to be made with work duties and/or the goals to ensure work is focused on the agency’s mission;, • Providing routine status reports and updates as needed to the Director of Children’s Services, Quality Assurance and Risk Management team, and/or Strategic Planning group on their department goals and any other department achievements or concerns;, • Maintaining professional development by completing annual training requirements as outlined in DCS policy;, • Providing specialized trainings (e.g., The Mandt System, Triple P Parenting, etc.) with high efficacy in accordance with system requirements;, • Other duties may be assigned as circumstances warrant.Requirements:, • A master’s degree from an accredited college in social work or related behavioral field is required., • Three (3) years of experience as a case worker in child welfare., • Knowledge of Microsoft Excel and Word is required., • Ability to learn new computer programs and perform data entry assignments with precision and reliability., • Attention to detail is mandatory with this position., • Excellent interpersonal/human relations skills., • Excellent oral and written communication skills., • Ability to maintain confidentiality., • Ability to work autonomously and work flexible hours, as situations require., • Ability to plan, organize and prioritize events within the office setting. Managing stressful situations utilizing excellent problem solving techniques is required., • Outgoing and positive disposition.
