Job Description The Office Services / Administrative Associate plays a key role in delivering a seamless, high-quality workplace experience. This position supports daily office operations, reprographics, mail services, facilities, pantry services, audio-visual support, and reception coverage, ensuring the office operates efficiently and presents a polished, client-ready environment at all times. Office Services / Administrative Associate Schedule: Monday–Friday, 9:00 AM–6:00 PM Pay Rate: $28–$32 per hour Key Responsibilities Office Services & Administration • Maintain and update the Site Operations Manual/Playbook to ensure all procedures remain accurate and current., • Produce black & white and color copies, print jobs, and finishing/binding services., • Perform quality control checks prior to client delivery., • Coordinate overflow production as needed., • Provide scanning services, including bookmarking, indexing, coding, and endorsing., • Process all incoming and outgoing mail, packages, and freight (USPS, FedEx, UPS, couriers)., • Oversee overnight and express deliveries., • Scan and route mail to appropriate folders or recipients., • Coordinate messenger and courier services for local deliveries and court runs., • Log, track, and distribute inbound mail and accountable packages., • Assist with outbound shipping, including packing, rate shopping, tracking, and carrier coordination., • Establish and maintain par levels for office supplies., • Manage inventory, ordering, and restocking., • Organize supply areas and copy rooms throughout the office., • Keep pantry areas clean, organized, and fully stocked., • Track inventory and manage supply orders., • Perform daily kitchen upkeep, including cleaning, stocking refrigerators, making coffee, and managing dishwashers., • Receive, organize, and distribute food deliveries while monitoring expiration dates., • Stock snacks and beverages regularly., • Maintain cleanliness, organization, and presentation throughout the office., • Set up and break down conference rooms and workspaces., • Assist with furniture installations, office moves, and workstation setups., • Coordinate with vendors and building management for maintenance requests., • Conduct conference room sweeps to refresh supplies and maintain a polished appearance., • Perform first-level copier maintenance, including clearing jams, refilling paper, and replacing toner., • Set up new employee workstations (supplies, badges, nameplates)., • Set up, test, and support AV equipment for meetings and events., • Greet visitors and manage incoming calls professionally, creating a strong first impression., • Assist with general reception and administrative duties., • Proofread documents with attention to grammar, spelling, and punctuation., • Maintain a professional demeanor in a fast-paced environment and keep a neat workspace.
