Job Description Brothers Redevelopment is a nonprofit organization that provides housing and various housing-related services for the region's low-income community members, older adults, and people living with disabilities across Colorado. Job Summary: Reporting to the Director of Program Operations, the Manager of the Volunteer Department is responsible for overseeing the delivery and administration of all Brothers Redevelopment volunteer programs including the Annual Paint-A-Thon. This role involves managing program implementation, ensuring program quality and effectiveness, coordinating with staff and stakeholders, managing contracts and budgets, and handling various administrative tasks. Reporting to the Director of Program Operations, the Manager of the Volunteer Department is responsible for the oversight, administration, and performance of Brothers Redevelopment’s volunteer programs, including the Annual Paint-A-Thon. This position leads program implementation, staff supervision, compliance, budgeting, reporting, fundraising support, and stakeholder coordination. The Manager also provides project oversight for Paint-A-Thon and related volunteer projects, helping ensure projects are well-organized, safely executed, and completed with quality service to clients. The role requires sound administrative leadership as well as practical knowledge of exterior home painting, minor exterior repair, and volunteer-driven project operations. Essential Responsibilities Program Management & Administration • Lead the planning, coordination, implementation, and evaluation of all Volunteer Department programs, including Paint-A-Thon and related exterior home maintenance and yard work initiatives., • Oversee annual program calendars, project timelines, seasonal work plans, and event logistics to ensure efficient and timely service delivery., • Develop, maintain, and improve department systems, workflows, forms, and records to support strong program administration and internal controls., • Manage client service flow from intake through project completion in coordination with program staff, contractors, volunteers, and internal departments., • Monitor program capacity, project pipeline, and program goals to ensure services remain organized, responsive, and aligned with available resources., • Maintain accurate and complete documentation for client files, volunteer records, project activity, and program outcomes., • Coordinate with internal teams, including Finance, Compliance, Communications, and Development, to support strong program operations and organizational alignment., • Identify opportunities to strengthen program effectiveness, streamline administrative processes, expand impact, and support long-term sustainability., • Provide operational oversight for Paint-A-Thon event days and volunteer project days, including project coordination, on-site issue resolution, schedule adjustments, and project closeout., • Apply working knowledge of exterior residential painting, surface preparation, and minor exterior home repair to support project planning, troubleshoot field issues, and promote quality project execution. Staff Supervision & Team Leadership • Supervise Volunteer Department staff and provide clear direction, accountability, coaching, and day-to-day support., • Lead hiring, onboarding, training, scheduling, and performance management for department team members., • Establish clear expectations, roles, and responsibilities for staff and support a culture of professionalism, responsiveness, and service., • Promote strong communication and collaboration within the department and across Brothers Redevelopment., • Support staff development by identifying training needs and encouraging growth in program administration, volunteer coordination, compliance, and community engagement., • Assist in coordinating volunteer leadership and project-day staffing needs to ensure safe, well-managed project execution. Grant/Contract Compliance, Reporting, and Performance Monitoring • Manage program delivery in accordance with grant agreements, contracts, organizational policies, and applicable federal, state, local, and funder requirements., • Support compliance with requirements that may include CDBG, HUD, EPA RRP, Lead Safe Housing Rule, OSHA, and other applicable regulations., • Track grant and contract deliverables, performance benchmarks, deadlines, and reporting requirements., • Prepare or coordinate timely, accurate program reports, narratives, and supporting documentation for funders, leadership, and internal review., • Monitor program outcomes and key performance indicators, including households served, volunteer participation, project completion, and other impact measures., • Work closely with Compliance to ensure successful monitoring with all contracted partners and funding agencies., • Identify compliance risks or performance concerns early and implement corrective action as needed. Billing, Reimbursement, and Fiscal Coordination • Develop, manage, and monitor department and program budgets in coordination with the Director of Program Operations and Accounting Director., • Review program expenditures for allowability, reasonableness, allocability, and alignment with budgeted and contractual requirements., • Coordinate billing, reimbursement requests, supporting documentation, and financial reporting for grants, contracts, sponsorships, and program activities., • Monitor spending trends, cash flow considerations, budget variances, and revenue performance; elevate concerns and recommendations to leadership., • Assist with forecasting, budget planning, and resource allocation to support department sustainability and seasonal program demands., • Ensure strong fiscal organization across program activity, including purchasing, vendor coordination, project cost tracking, and reimbursement support., • Manage the monthly reclassification on the general ledger, support the department preparation for the Schedule of Federal Awards (SEFA)., • Maintain financial and program records in a manner that supports internal review, external reporting, and audit readiness. Fundraising and External Relations • Support and advance fundraising efforts related to the Volunteer Department and Paint-A-Thon, including sponsorship development, donor stewardship, grants, and community partnerships., • Identify and pursue opportunities for program support through public grants, private foundations, corporate sponsors, and community-based giving., • Collaborate with the Development and Communications teams on fundraising strategy, campaign messaging, donor engagement, and promotional materials., • Support organizational fundraising initiatives and events, including Local Social and other mission-driven engagement opportunities., • Build and maintain strong relationships with municipalities, community partners, volunteer groups, contractors, sponsors, and funders., • Represent Brothers Redevelopment professionally in external meetings, community settings, and partner conversations related to volunteer programs and Paint-A-Thon., • Help communicate program impact, funding needs, and strategic opportunities to Brothers Redevelopment leadership and stakeholders. Education & Experience: • Preferably, the candidate will have a relevant bachelor's degree and at least three (3) years of experience in the nonprofit sector, although relevant experience without a degree will also be considered., • Strong organizational and project management skills., • Experience in staff supervision and team leadership., • Excellent communication and interpersonal skills, capable of working effectively with diverse groups., • Knowledge of CDBG, EPA, LSHR, Office 365, QuickBase, preferred., • Experience managing partnerships with volunteer teams and stakeholders., • Passionate about serving and making a positive impact on the lives of community members, especially older adults and vulnerable populations. Certificates, Licenses, Registrations: Must have a clean driving record and a valid Driver’s License. Must have EPA RRP Certification. Must have First Aid and CPR Certification. Physical Demands: This is a job that can be, at times, very physically demanding. Expect lifting, bending, stooping, and carrying of items both inside and outdoors on a regular basis. Must be able to lift, move, and load 60 pound ladders safely onto truck ladder racks. Must be able to carry paint weighing in excess of 50 pounds. Hours: Generally 8:00am – 4:30pm Monday-Friday. EXTENSIVE evening and weekend hours in connection with project demands during the volunteer season.
