Job Description JOB DESCRIPTION Position Title: Accounting & Membership Manager Location: Chattanooga, TN Position Type: Full-Time, Exempt Reports To: Executive Officer Salary Range: $47,000 - $57,000 POSITION OVERVIEW The Home Builders Association of Greater Chattanooga (HBAGC) is seeking a detail-oriented, reliable, and experienced Accounting & Membership Manager to lead the Association’s financial operations and membership database management. This position is central to the stability and effectiveness of HBAGC, ensuring accurate bookkeeping, billing, and membership records while supporting the organization’s day-to-day operations. The successful candidate will be proficient in QuickBooks, skilled in financial reporting, and comfortable managing membership databases such as MemberZone and the National Association of Homebuilders (NAHB’s) WMS. While the role’s primary emphasis is on accounting and membership management, it also includes general office support responsibilities in a small-team environment. KEY RESPONSIBILITIES Bookkeeping & Financial Management (Primary) • Manage accounts payable and receivable, including member invoicing, event and sponsorship payments, and vendor transactions., • Perform monthly bank and credit card reconciliations., • Prepare financial statements, including actual-to-budget comparisons, income statements, and balance sheets., • Assist in the development of the annual budget and provide regular financial updates to the Executive Officer and Board of Directors., • Maintain the general ledger and ensure proper classification of transactions., • Generate financial reports to evaluate the performance of HBAGC events and initiatives., • Coordinate with external accountants on audits, tax filings, and year-end financial reviews. Membership Database & Billing (Primary) • Maintain accurate and up-to-date membership records in MemberZone and NAHB’s Web Management System (WMS)., • Manage membership invoicing, billing, and renewals., • Track member engagement and generate reports for internal and external use., • Ensure timely follow-up with members on dues and account-related matters., • Provide membership data and statistics for Board and committee reporting., • Coordinate with Membership Committee on member outreach, retention, and building new membership. Office Administration & Support (Secondary) • Provide financial documentation and reports for Board and committee meetings., • Assist with office management tasks, vendor relationships, and recordkeeping., • Support event registration, tracking, and related financial reconciliation., • Serve as a point of contact for member billing and database inquiries. QUALIFICATIONS • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred; equivalent experience considered., • Minimum of three years of bookkeeping/accounting experience, ideally with nonprofits, trade associations, or membership-based organizations., • Proficiency in QuickBooks required., • Experience with MemberZone, NAHB WMS, or other management software preferred., • Demonstrated ability to prepare and analyze financial statements and actual-to-budget reporting., • Strong proficiency with Microsoft Excel, Word, and Outlook (or Google Workspace equivalents)., • Excellent attention to detail, organizational skills, and discretion with sensitive information., • Ability to work independently and manage multiple priorities in a small-office environment. COMPENSATION & BENEFITS • Salary Range: $47,000 - $57,000., • Paid Time Off (PTO): HBAGC offers a PTO program for vacation, personal, or sick leave., • Holidays: In addition to PTO, employees receive paid time off for Tennessee state and federal holidays recognized by HBAGC, currently including: o New Year’s Day o Good Friday o Memorial Day o July 4th o Labor Day o Thanksgiving Day and Friday after o Christmas Eve and Christmas Day • Future Benefits: At present, HBAGC does not offer a retirement savings plan or health reimbursement arrangement. However, the Board of Directors is actively pursuing both a Safe Harbor 401(k) with employer contributions and a Qualified Small Employer Health Reimbursement Arrangement (QSEHRA). The expectation is that both programs will be established in the coming months. Once in place, employees will be eligible to participate, including any employer contributions as defined in official plan documents., • Work Environment: Standard office hours are 9:00 a.m. – 5:00 p.m., Monday – Friday, with occasional evening or weekend events. Hybrid or flexible work options may be considered based on experience and performance.
