Job Summary: We are seeking our Payroll and Staff Administrative Specialist to manage and execute payroll, as well as support HR administrative processes across France, the Netherlands, Germany, the UK, Switzerland, and Austria. This role ensures accurate and timely payroll execution, compliance with local labor regulations, and smooth employee lifecycle administration in collaboration with internal stakeholders and external service providers. Our Payroll and Staff Administrative Specialist will act in tandem with a more Junior Payroll Officer and will play an important role in sharing knowledge and mentoring. Key Responsibilities: Payroll Management • Prepare monthly payroll elements to be sent to service providers for monthly payroll calculation across all covered countries. Primary mandatory knowledge is on French Payroll; all additional countries is a plus., • Maintain strong relationships with service providers and ensure service quality and compliance with local labor laws. Ensure first-line checks every month to reconcile all needed payroll elements to ensure service providers are delivering correct payroll items for a smooth monthly production., • Perform second-line checks on payroll outputs, including payslip closures, final version validations and sending accounting information according to the Finance department responsible., • Review and analyze monthly payroll variances, providing explanations for significant or unusual changes, and coordinate with the Finance department to ensure correct payroll elements are booked., • Respond to employee queries related to payroll, taxes, and contributions in a timely and professional manner., • Manage yearly mandatory audit review with external auditors (PWC) and provide requested elements of proof., • Manage and anticipate accurate payroll information transfer with HR Controller where required., • Manage onboarding and offboarding administrative processes, ensuring timely preparation and delivery of all required documentation (working contracts, amendments, certificates, etc.).., • Maintain and update employee records in HRIS and personnel files., • Monitor and manage absences, leaves, and time-off records., • Ensure compliance with local labor laws, tax regulations, and social contributions in each country., • Prepare and submit mandatory declarations to relevant authorities., • Contribute to HR transformation initiatives, including the automation of administrative tasks and optimization of payroll processes., • Participate in the externalization of services where relevant, ensuring smooth transitions and clear documentation., • Identify and implement state-of-the-art practices to enhance efficiency, accuracy, and employee experience., • Collaborate with HR and Finance departments to streamline workflows, reduce manual interventions, and improve data quality., • Support change management efforts and share best practices across countries and teams. Key Requirements: Hard Skills: • Strong knowledge of payroll systems and labor regulations of France; any additional EU country would be considered as a plus., • Proficiency in HRIS and Microsoft Office (especially Excel)., • Excellent organizational skills and attention to detail. Soft Skills: • Strong communication skills and ability to work in a multicultural environment with the willingness to support colleagues across HR, Finance, and multiple teams., • Proactive attitude to improve processes, and actively seeks solutions, suggests improvements and drives some projects independently., • Comfortable working with numbers and identifying trends or anomalies in payroll data. Able to provide meaningful insights and explanations., • Demonstrates leadership through initiative, reliability, and the ability to lead initiatives for continuous improvement, while training and mentoring a colleague as a Senior professional. EDUCATION & EXPERIENCE • Bachelor’s degree in human resources, Finance, or a related field., • Proven experience (5+ years) in payroll and HR administration., • Foundational understanding of accounting principles to ensure accurate payroll-to-accounting reconciliations and effective collaboration with Finance departments. LANGUAGE SKILLS • Fluent English (written and spoken) is required (working language), • A good level in French would be a plus LOCATION No specific restriction amongst other EPEX office locations and an attractive hybrid work policy.
