This is a part time position that plays a critical role in maintaining supply chain efficiency and ensuring that all sourcing activities support the company’s business goals, timelines, and quality standards. Operating in a dynamic, highly motivated office environment, the role is both strategic and operational, requiring great coordination, and communication skills. Purchase Order Management • Manage the end-to-end purchase order (PO) process within Global Supply, ensuring timely and accurate entry, processing, and follow-up., • Resolve PO discrepancies, monitor order dashboards daily, and maintain on-time performance., • Oversee delivery of 24,000+ items annually from 15 suppliers, ensuring Distribution Center (DC) availability and customer service levels., • Send and track requests for quotation (RFQs) via sourcing systems, manage cost inputs (incl. freight), and liaise with Marketing for timely confirmation. Production & Delivery Oversight • Monitor global production of card and non-card products to meet forecasted demand and deadlines., • Coordinate Private Label and customer delivery schedule (CDS) timelines from artwork release to warehouse delivery., • Investigate delays, manage work-in-progress issues, and coordinate post-shipment deliveries., • Support product sourcing with costing, samples, and innovation while maintaining supplier capacity and on-time delivery., • Provide volume and material forecasts to ensure continuous supply. Supplier & Stakeholder Collaboration • Support the AG Asia buying team and supervise sourcing activities to ensure reliable and sustainable product supply., • Liaise with global suppliers, logistics providers, and internal stakeholders to ensure alignment on lead times, capacity, and quality standards., • Escalate supply chain issues and provide updates on CDS activities and project priorities., • Support audit readiness, ensuring compliance with FSC, EUTR, and retailer requirements. Performance Monitoring & Reporting • Track and report on order progress, manufacturing timelines, and supplier performance., • Deliver regular reports and root cause analysis to senior leadership., • Monitor KPIs across vendor performance, cost, quality, delivery, and SKU availability. Process Improvement • Identify inefficiencies and lead improvement initiatives across global sourcing processes., • Support system upgrades, drive process optimisation, and implement best practices across UK, Asia, and US operations., • Apply strong negotiation skills on card and non-card products to protect margins and lock in favourable cost structures. Skills & Qualifications Required • Strong experience in global sourcing, supply chain, or procurement roles., • Proven ability to manage teams and workflows in a dynamic environment where priorities can shift quickly., • Excellent organizational, analytical, and communication skills., • Ability to manage multiple tasks and priorities simultaneously while maintaining attention to detail., • A collaborative mindset and a proactive, problem-solving approach., • Excellent Excel and Microsoft Office skills, • Knowledge and understanding of Costing, Marketing, the Asia Global Sourcing offices and Production is desirable, as is Card and Gift Dressing specification experience.
