Job Title: Executive Personal Assistant Reports To Chief Executive Officer Location; Glasgow, Scotland Full-time May require flexibility outside standard business hours Hybrid or on-site depending on CEO needs The Role The Executive Personal Assistant provides administrative, organisational, and personal support to the CEO. This role requires discretion, proactive problem-solving, and the ability to manage complex schedules, communications, and priorities in a fast-paced environment. The Executive Personal Assistant acts as a trusted gatekeeper and partner, enabling the executive to operate at peak effectiveness. Key ResponsibilitiesExecutive Support • Manage complex calendars, scheduling meetings, appointments, and travel across multiple time zones, • Coordinate domestic and international travel, including itineraries, visas,, • accommodations, and expenses, • Serve as the primary point of contact between the CEO and internal/external stakeholders, • Prepare agendas, briefing materials, reports, and presentations, • Manage emails, correspondence, and phone calls, prioritising and responding on behalf of the CEO when appropriate, • Track action items, deadlines, and follow-ups to ensure timely execution, • Organise meetings, board sessions, and events, including logistics and documentation, • Maintain filing systems (digital and physical) for easy retrieval of information Personal & Lifestyle Support (as required) • Assist with personal scheduling, appointments, and special projects, • Coordinate personal travel, events, and errands as requested, • Liaise with service providers or vendors when necessary Strategic & Ad Hoc Support • Anticipate CEO needs and proactively resolve issues, • Conduct research and prepare summaries to support decision-making, • Support special projects and initiatives as assigned Qualifications Experience 3+ years of experience supporting senior executives in a similar role Skills & Competencies * • Exceptional organisational and time-management skills, • Strong written and verbal communication abilities, • High emotional intelligence and professional judgment, • Ability to manage competing priorities under pressure, • High levels of IT literacy and competency About you Highly discreet, trustworthy, and dependable Proactive, resourceful, and detail-oriented Calm, flexible, and solutions-focused Strong interpersonal skills with a service-oriented mindset What we offer The opportunity to work with a growing, purpose-driven pet food brand Supportive and collaborative team environment Competitive salary and benefits Feed your dog for free!
